This role is instrumental in maintaining our commitment to quality and customer satisfaction. The Account Executive will support and follow ICS mission and values. Account Executive Role Summary An Account Executive is responsible for managing vendor relationships and ensuring smooth operations across various processes. Their key duties include: Vendor Communication : Acting as the primary contact for vendors, addressing any questions or concerns, and ensuring that vendor information is accurately maintained within company systems like head office eSuite and SharePoint. Document and Data Management : They are tasked with creating internal order guides for supervisors and managers, setting trigger limits for reports that signal when reordering is necessary, and maintaining all item data. This includes managing modified items, webstore items, deli board items, wholesale book items, recipe cost analysis book, and batching item changes. Process Coordination : They oversee the digitization and correct uploading of vendor documents to SharePoint and handle manual uploads when necessary. They are also responsible for initiating and following up on credit requests, ensuring all vendor information is maintained correctly, and assigning appropriate accounting codes to items. ProblemSolving : Addressing issues such as missing or incorrect files, workflow problems, and ensuring vendors follow new procedures. They work to resolve any problems with document handling, either by fixing them manually or coordinating with other departments. Exclusions : They do not handle ordering or the documentation of credit requests. In summary, the Account Executive ensures that vendor interactions are efficient, item data is meticulously maintained, and all relevant processes are wellcoordinated within the company. DUTIES AND RESPONSIBILITIES Prioritize providing exceptional customer service to deliver a positive customer experience thereby cultivating a positive reputation for the company and fostering customer loyalty. Enter new product information into the system and maintain the price file. Discuss price changes and sales items with buyers and adjust as required. Ensuring accuracy of items that are being received and sold. Collaborate with the Floor Supervisor to create new labels and tags as needed. Review incoming invoices, communicate cost changes to the Supervisor, and ensure accuracy. Investigate products on invoices not in the system and enter them with pricing according to margins. Monitor and verify reports on margins for accuracy. Assist with phone inquiries and provide backup for accounts payable by processing orders and creating invoices when necessary. Handle various administrative tasks for the entire store, including document scanning, office supply ordering, and mail sorting. Creating relationships with vendors. Responsible for requesting, receiving, and maintaining credits in the credit app. Attend meetings and run various reports for management and supervisors. Communicating professionally and respectfully with all other departments within the store. Promoting a positive company image by actively engaging with employees, customers, suppliers, and the community. Representing ICS both in and out of the store. Sharing ideas or observations with supervisors in regard to new items or trends in the market. Other duties as required. QUALIFICATIONS Education High school diploma or GED from an accredited school system or program is required. Postsecondary education with a focus on Business Administration is preferred. Experience A minimum of 23 years of office experience, including data entry. Skills and Abilities Excellent listening and communication skills, both verbal and written. Ability to work under pressure while maintaining a professional demeanor. Selfmotivated with the ability to work independently with minimal supervision. Strong mathematical skills, attention to detail, and problemsolving abilities. Advanced proficiency in Microsoft Office applications. Experience using SharePoint is considered an asset. Genuine concern for the needs of both internal and external customers. WORKING CONDITIONS Typical schedule Monday to Friday day shifts with flexibility to work occasional evenings and weekends. Exposed to hot and cold environments. Required at times to work with challenging customers and/or situations. PHYSICAL REQUIREMENTS Long periods of working at a desk and computer. Infrequent periods of standing and walking for extended periods of time. Frequent motions include bending, twisting, squatting, pushing, pulling, and reaching. Includes manual and repetitive tasks.
