Whether it is moving passengers on our charter aircraft or transporting critically ill patients by air ambulance, we have made medical travel our specialty. Job Summary The Assistant to the Chief Pilot provides administrative, operational, and logistical support to the Chief Pilot and the flight operations department. This role helps ensure smooth daytoday coordination of pilot schedules, regulatory compliance, training activities, and communications. The Assistant serves as a key point of contact between pilots, management, and other operational teams, helping maintain efficient workflows and supporting the overall safety and performance of the flight operation. Responsibilities may include preparing reports, maintaining pilot records, coordinating meetings and training sessions, addressing inquiries, and assisting with departmental projects. Qualifications and Requirements Minimum: Completion of Grade 12 (High school diploma) Diploma or degree in Aviation Management, Business Administration, or a related field (preferred) Previous experience in aviation operations, pilot support, or administrative coordination is an asset Understanding of flight operations, scheduling, and basic aviation terminology. Have a strong knowledge of Canadian Aviation Regulation (CARs) Basic understanding of pilot certification, training requirements, and duty time regulations Ability to prepare reports, maintain records, and manage documentation accurately Ability to manage multiple priorities simultaneously in a fastpaced environment Proven ability to maintain confidentiality and handle sensitive information. Must be able to obtain and maintain applicable transportation Security clearances Legally eligible to work in Canada Current Criminal Record Check Indigenous Awareness and/or Cultural Diversity training considered an asset Responsibilities and Accountabilities Support to Chief Pilot: Assist Chief Pilot in meeting CARs 703/704 obligations and act as delegate when required. Support development and implementation of Flight Ops Policies Monitor daily flight operations for regulatory and SOP compliance Oversee crew readiness, and operational decision support Assist with training development, coordinate pilot ground, recurrent and line training Maintain and audit pilot training and qualification records Assist in updating SOPs, aircraft checklists/QRH, and the Company Operations Manual. Ensuring alignment with AFM and CARs Support Pilot performance management and assist with pilot hiring, onboarding and orientation Safety Management (SMS) Communicate safety updates and support corrective actions Review schedules for CAR 700 compliance and support fatigue risk management Coordinate with Maintenance/PRM, Dispatch, Safety/QA/QC, and customer partners Promote CRM, TEM, and Human Factors in flight operations and training Working Conditions Office setting: Schedule: 8 hours per day - Monday to Friday (8:00 am to 4:30 pm). Occasional after-hours support during operational disruptions. Tools & Equipment: Daily use of desktop or laptop computers, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for audit reports, data analysis, and presentations Physical Demands: May involve prolonged periods of sitting, computer use, and occasional standing or walking. Collaboration: Regular interaction with flight operations teams, and regulatory bodies. Strong communication and interpersonal skills are vital.
