Summary of the Position: Reporting directly to the Controller, the Restricted Gift Accounting Consultant collaborates with the Finance Team to review, analyze, and substantially enhance our restricted gift accounting workflows. The primary goals of this work are to automate, recategorize, and document a new flow for gifts of various restriction types from the fundraising system to the accounting system. This role will also assist with exploring additional opportunities for streamlining related accounting workflows using automation. Main Responsibilities: Restricted Gift Automation and Workflow Redesign (70%): Prepare a Project Charter, Risk Register and RACI framework for the restructuring project and refine until approved by the relevant parties. In collaboration with the Finance Team, observe end to end restricted gift accounting cycle for at least two quarter ends. Analyze the differences and similarities between a high volume of restricted gifts. Review the current general ledger groupings for restricted gifts accounted for as deferred contributions and their matching into revenue accounts. Understand the current structure of gift coding in RaisersEdge (RE) and its uses for fundraising and accounting purposes. Proposed new groupings of restricted gifts, including RE and Financial Edge (FE) matching parameters. Once the categories and labels are refined and improved, trial the new process in the RE and FE Test Environments. Understand the current structure of gift coding and its uses for external reporting to Canada Revenue Agency (CRA) for the annual Registered Charity Information Return. Once the data flow and accounting framework are tested using agreed use cases and approved by both departments, add workflow automation using the Microsoft Tool Stack, or Omatic connector if required. Update the risk assessment and internal controls analysis to determine if the proposed changes mitigate risks to a level agreed by the relevant parties. Train the relevant staff members on the new workflow, including online live training, recorded training materials, and written documentation. Go live with the redesigned process in the RE and FE Production Environments, complete follow up testing and revise as needed. Complete project wrap up and lessons learned assessment. Restricted Gift Monthly and Quarterly Accounting (30%): Observe the existing restricted gift data flow and accounting process. Review the restricted gift excel worksheet layout, formulas, manual and automatic calculations and reconciliation controls. Become familiar with the BC SPCA Restricted Gift Policy and Restricted Gift Code working group decision making and documentation structures. Once having effectively shadowed the process, assume the responsibility for the quarterly restricted gift accounting process, from detailed gift analysis and preparation of journal entries to reconciliation to the statement of financial position and statement of operations. Work with the Finance Team to reconcile donations to the various payment methods, i.e. Stripe, Paypal, Shopify, etc. Monthly, review the new restricted gifts and assess their coding for accuracy. For gifts with multiple restrictions, recommend their coding and matching to the Restricted Gifts Code working group. If required, recommend revisions to the Restricted Gift Policy to the senior financial team to propose to the Chief Public Engagement and Advancement Officer. Become familiar with how matched restricted gifts are presented to budget owners using the Vena software. Perform other duties as assigned. Knowledge and Skill Required for the Position: Chartered Professional Accountant (CPA) completed designation required, plus minimum 8 years experience processing or consulting on accounting in a complex nonprofit environment; or an equivalent combination of education and experience acceptable to the Employer. Advancedlevel knowledge of the deferral and fund accounting sections of the CPA Canada Handbook. Experience accounting for a highvolume of restricted gifts. Proven ability to read and interpret will wording. Experience establishing or reconfiguring connectors between Fundraising and Financial Systems. Experience with the following Microsoft Products: Power Automate, Power BI, CoPilot Chat. Optional experience with Microsoft Fabric and CoPilot Studio. Strong communication and relationship skills and ability to work with internal and external parties at all levels and from diverse backgrounds in a positive, respectful and nonjudgmental manner. Expertise in documenting workflows, policies, standard operating procedures and training documents. Exceptional attention to detail and problem solving abilities. Strategic thinker with a strong focus on process and continuous improvement. Demonstrated ability to organize work, meet priorities and to work within a demanding work schedule with minimal supervision.
