Position Overview This pivotal, hybrid role is responsible for the smooth and efficient operation of the office, acting as a critical bridge between field operations, the front office, and the digital systems that keep the firm operational. The Office Administrator oversees daily office functions while providing administrative support to IT infrastructure and construction or facilities projects. This position combines traditional administrative expertise with foundational IT knowledge and experience in the construction industry. The ideal candidate is a highly organized, detail-oriented, proactive problem-solver who can effectively manage multiple priorities in a fast-paced environment. Key Responsibilities Administrative & Office Management: Manage general office operations, including maintaining supplies, equipment, facilities, and vendor services. Serve as the primary point of contact for internal and external communications, including phone calls, emails, and visitors. Organize and schedule meetings, appointments, and travel arrangements. Maintain organized digital and physical filing systems for company records, contracts, and other critical documents. Assist with HR tasks such as employee onboarding, workstation setup, and managing access to office resources. Process invoices, expense reports, and assist with basic bookkeeping tasks and budget tracking. Manage relationships with suppliers and subcontractors to ensure office and site supplies are replenished. IT Support & Systems Management: Provide first-line IT support, troubleshooting basic hardware (computers, printers, plotters, phones), software (Microsoft Office Suite), and network connectivity issues. Assist with setting up new workstations, user accounts, and peripherals. Manage and organize IT inventory, including hardware assets, software licenses, and mobile devices. Liaise with external IT support vendors for complex issues, system upgrades, or new technology implementations. Administer and update industry-specific platforms such as Procore, Viewpoint, or Primavera P6. Ensure adherence to data backup procedures and company cybersecurity measures. Support field technicians with issues related to tablets or mobile service platforms. Construction Project Support: Assist project managers and site teams by preparing, organizing, and maintaining comprehensive project documentation, including contracts, permits, RFIs, submittals, bid packages, change orders, and drawings. Coordinate communication between the office, construction sites, clients, subcontractors, and suppliers. Act as the primary liaison between office management and field crews, ensuring site teams have the latest construction drawings and specifications. Support the procurement process by preparing purchase orders and tracking material deliveries. Track project schedules, budgets, milestones, and deliverables, and assist in preparing progress reports. Maintain safety documentation and compliance records. Support project closeout by compiling warranties and operation/maintenance manuals for clients. Qualifications Education: A high school diploma or equivalent is required. An Associates or Bachelors degree in Business Administration, Construction Management, Information Technology, or a related field is preferred. Experience: A minimum of 2 years of proven administrative or office management experience, specifically within the construction, engineering, architecture, or a related industry is essential. Demonstrable experience providing IT support in a professional setting, including basic troubleshooting, system setup, and coordinating with IT vendors, is required or considered an asset. Experience supporting construction, facilities, or renovation projects is preferred. Skills & Attributes: Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams). Familiarity with construction-specific platforms (e.g., Procore, Aconex, Bluebeam, Viewpoint), project management tools (e.g., Asana, Trello), and basic accounting software (e.g., QuickBooks) is a strong plus. A basic understanding of IT systems, networking, and office technology is also required. Soft Skills: Exceptional organizational, multitasking, and time management abilities are crucial. The role demands strong verbal and written communication skills, a high level of attention to detail, and a proactive, problem-solving mindset. The candidate must be able to work both independently and collaboratively, and handle confidential information with integrity. Working Conditions This is primarily an office-based role operating during standard business hours. Occasional visits to construction sites or vendor locations may be required. The role requires the ability to lift and move office equipment weighing up to 25 lbs.
