Job Description

POSITION SCOPE: Responsible for the execution of day-to-day people operations within Anatolia, the Specialist People & Culture (P&C) applies the policies, procedures and programs and carries out responsibilities in the following functional areas: HRIS, employee relations/engagement, training, compensation, benefits, records/file management, database administration, orientation /onboarding for hourly and salaried team members, and support to other functions when necessary. KEY ACCOUNTABILITIES: Conducts new hire orientation and onboarding activities, including creating orientation plans, facilitating new hire training, taking new hires on facility tours, and leading team member scanning and access activities as required Maintains good employee relations with all team members including a regular presence on the warehouse floor Assists team members with enrolment onto and troubleshooting of the attendance tracking system Assists with recruitment and employee relations efforts by updating job descriptions, checking references, soliciting team member feedback and other initiatives or tasks as assigned Processes benefits enrollments and updates for new hires and responds to team member inquiries about company benefits plan and RRSP plan Supports the bi-weekly payroll process by ensuring scanning, monitoring/tracking, and electronic filing of all information required for payroll has been entered into applicable databases within the established deadlines Coordinates appraisals and feedback initiatives at predefined schedules and events, including providing responsible parties with documentation and guidelines, collecting and filing of all completed documentation, and updating applicable systems Prepares and distributes internal correspondence including communications from management, newsletters, manuals, etc. Ensures P&C Work Instructions and Standard Operating Procedures are created and kept current to facilitate a structured, efficient, effective and compliant workplace Supports decision making by preparing surveys, statistical reports, tables, graphics and databases Accountable for quality and accuracy of P&C data, information and recommendations and adherence to work instructions with some discretion required when exercising duties within pre-determined limits and procedures Provides guidance related to P&C policies, programs, information and assigned projects Contributes to improving employee relations/engagement by preparing communications announcing new hires and promotions, information sharing (eg newsletter articles), confirming employment status, and participating in engagement initiatives Performs other P&C duties and projects as assigned This position also requires: Interactions with internal or external customers employing professional common courtesy, providing requisite and correct information along with straightforward support Demonstrated experience and ability working with moderately complex information as related to analysis, problem solving, and reasoning to perform job duties with effectiveness Demonstrated accountability for quality, accuracy and adherence to work instructions with a moderate amount of decision making required when performing duties and interpreting and applying rules and guidelines Demonstrated capability to provide guidance of limited complexity to other staff as needed in relation to the execution of job duties and assigned projects Demonstrated understanding that work contributions have some significant influence beyond the immediate department and organization and as such duties are executed with tact, accuracy and compliance to instructions Demonstrated ability to apply creative problem solving and idea generation to work tasks as occasionally required Demonstrated ability to work collaboratively and with common courtesy towards other departments, customers or suppliers while maintaining confidentiality Capability to deliver a consistently high level of customer service to internal or external customers is required, discovering and comprehending their needs and providing efficient and effective support Understanding that work efforts and interaction with external parties may have a moderate impact on the employer brand and public reputation and as such ensure that behaviours and communications shall be professional and accurate at all times Demonstrated ability to work collaboratively with peers within a work area and other departments IDEAL QUALIFICATIONS: Post-secondary degree in human resources related field required; pursuit of CHRP designation preferred Minimum 5 years of experience in a similar capacity required, preferably from within a warehouse/distribution environment Excellent verbal and written communication skills Proficiency with computer applications including MS Office Suite (including advanced Excel skills like vLOOKUP and conditional formatting), Organimi (org charts), Sharepoint, Microsoft Forms, Survey Monkey, AI/ internet and Laserfiche to input, update, present and retrieve records and information; Recent experience with TMS software would be an asset Recent, related experience inputting and updating information in Dayforce HCM or equivalent and preparing reports is strongly preferred Demonstrated ability to work collaboratively with other departments while maintaining confidentiality, and apply creative problem solving effectively Working knowledge of employment legislation (e.g. ESA, AODA, OHSA, OHRC, WSIB), associated regulations and requirements, and the ability to translate and apply these to a work environment Ability to work varying hours on occasion to support the needs of the business (multiple shifts) Ability to multitask and prioritize multiple projects within a matrix-reporting structure WORKING CONDITIONS: Most work is performed in a standard office environment with limited exposure to adverse conditions or health and safety risks Position requires low level of sustained visual attention, moderate manual dexterity on a regular basis with sitting at length but with the ability to alter posture and position as desired Disclaimer * Diversity and inclusion have always been at the core of our values at Anatolia.
