Organization Overview The Mel Jr. & Marty Zajac Foundation is a not-for-profit organization located in Vancouver, BC, whose mandate is to support children, seniors, and individuals with special needs through innovative community projects focused on developing lifelong skills and independence. Our current major focus is Zajac Ranch, a camp in Mission, BC, for children with chronic, life-threatening and/or debilitating conditions. Located on the shores of Stave Lake in Mission, BC, just one hour east of Vancouver, Zajac Ranch is situated on over 40 acres of pristine forested land. During the summer months, Zajac Ranch provides camps for children and young adults with chronic, life-threatening and/or debilitating conditions. In the off-season, Zajac Ranch welcomes school groups and private rentals. Revenue generated from site rentals supports the delivery of Zajac Ranch medical summer camps. Responsibilities Camp & Staff Management - Assist with recruitment, interviewing, and training of seasonal staff. - Provide team development, guidance, direction, and support to camp staff. - Plan, lead, and adapt staff training sessions and weekly development exercises. - Ensure effective communication across all levels of camp staff. - Know, enforce, and adhere to camp policies and procedures. - Maintain up-to-date staff documentation (applications, criminal record checks, certifications, etc.). - Conduct mid-summer and end-of-season staff evaluations with the Camp Director. - Participate as part of the leadership team in addressing operational issues and challenges that arise during camp sessions. - Facilitate regular check-ins with counselling staff to support performance and address concerns proactively. - Provide support to staff working with campers with complex needs and behavioural challenges to ensure safety and positive group dynamics. - Assume the duties of the Camp Director when the Camp Director is absent. - Assist with the management and escalation of behavioural incidents alongside the Camp Director. - Ensure special dietary requirements are communicated and supported by food service staff. - Manage petty cash, including balancing, tracking, and maintaining the camp store float and inventory. - Ensure all activity stations are properly maintained and document any damage or maintenance needs. Rental Season - Act as host to rental groups during shoulder seasons, providing excellent customer service and hospitality to all guests. - Liaise with the Sales team at the Zajac Foundation head office to ensure all rental preparations are in place, including programming needs. - Communicate guest feedback to the Foundation office and support continuous improvement of the rental experience. - Maintain an on-call roster of programming staff for rental activities. - Facilitate programming for rental groups when required. - Plan, lead, and adapt staff training for rental season staff. - Maintain up-to-date documentation for rental groups. - Participate in resolving operational issues that arise during rental programs. Volunteer Training & Management - Assist with recruiting volunteers for camp sessions. - Review volunteer applications and conduct brief interviews. - Maintain up-to-date volunteer records (applications, criminal record checks, etc.). - Coordinate volunteer training sessions. - Conduct regular check-ins with volunteers to support their experience and performance. Safety - Take leadership during emergency situations in the absence of the Camp Director. - Assist in developing and coordinating emergency response procedures and crisis management protocols. - Promote strong safety awareness among staff and volunteers. - Assist the Camp Director in planning and delivering emergency procedures training for staff. - Ensure activity areas remain clean, organized, and safe before and after each camp session. - Participate in the overnight on-call rotation with the Camp Director to respond to emergencies. Foundation Initiatives - Assist with outreach to community organizations, universities, and partner groups. - Support presentations about Zajac Ranch when appropriate. - Assist with marketing, fundraising, and awareness initiatives as directed by the Foundation office and Camp Director. - Host tours for potential donors, volunteers, and camp groups when required. Qualifications - Ability to live on-site during the camp season. - Valid drivers license required. - Standard First Aid and CPR-C certification required. - Must possess and maintain a clear Criminal Record Check with Vulnerable Sector Screening. - Minimum two years of administrative or leadership experience in a camp environment. - Experience working with children and youth with developmental disabilities, complex needs, or behavioural support requirements is considered an asset. - Experience supporting neurodiverse children and youth, including training in behaviour support strategies, is considered an asset. - Demonstrated commitment to the value and impact of summer camp experiences for children with high support needs. - Ability to work both independently and collaboratively within a team environment. - Strong organizational, multitasking, and time management skills. - Strong written and verbal communication skills. - Proficiency with Microsoft Office. - Experience with CampBrain or similar camp management systems is an asset. - Experience working within a non-profit organization is considered an asset. - Will share responsibility for evening barn feed and gate duties as part of the broader camp operations team. Job Type & Term - Full-time contract position from mid-April through the end of November. - Extension: There may be an opportunity for extension based on operational needs and future bookings. Compensation - Annualized salary equivalent of $50,000, prorated for the duration of the contract term (mid-April through the end of November). - Actual earnings will reflect the length of the contract and operational schedule. Benefits - This is a contract position and is not eligible for participation in the Foundations employee benefits program. - On-site accommodation provided during active work periods. - Meals provided during active camp sessions. - On-site parking. - Vacation pay provided in accordance with the British Columbia Employment Standards Act (4% of gross earnings).
