Position Overview Infracon Construction Inc. is seeking a highly organized and detail-oriented Administrative Coordinator to support our Calgary operations. This role plays an important part in ensuring the efficient administration of financial and office processes while supporting project operations. Reporting to the Operations Coordinator, the successful candidate will assist with accounts payable, accounts receivable, and general administrative functions to support the Calgary office and operational teams. The ideal candidate will be a proactive self-starter with strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Core Competencies Customer Focus Communication Teamwork Quality Oriented Problem Solving Accountability Dependability Ethics & Integrity Key Responsibilities Accounts Payable Process accounts payable invoices for the Infracon group of companies. Verify invoice coding and ensure appropriate approvals are obtained. Enter invoices accurately into the accounting system. Prepare and maintain accounts payable aging reports. Generate and process vendor payments. Reconcile vendor statements and resolve discrepancies in a timely manner. Maintain vendor records and respond to vendor inquiries. Monitor and manage accounts payable email correspondence. Accounts Receivable Assist with preparation and issuance of client invoices and progress billings. Monitor accounts receivable balances and follow up on outstanding invoices. Process incoming payments and apply them to the appropriate accounts. Maintain accurate customer records within the accounting system. Assist with receivables reporting and reconciliation. Support project teams with documentation required for billing. Project & Operations Administrative Support Assist with entry and tracking of project-related labour, equipment, and materials data. Maintain project documentation including contracts, purchase orders, change orders, and project correspondence. Support preparation and tracking of project cost reports and internal project documentation. Coordinate with field supervisors and operations staff to collect required administrative documentation. Assist with subcontractor documentation, compliance records, and invoice submissions. Maintain accurate document control and filing systems for operational records. Assist with preparation of operational and financial reports as requested by management. Administrative Support Provide general administrative support to the Calgary office and operational teams. Maintain accurate filing and document control systems. Assist with purchase orders, requisitions, and tracking logs. Coordinate travel arrangements, meeting schedules, and office logistics as required. Support onboarding documentation and administrative processes when required. Maintain databases, contact lists, and internal documentation. Assist with preparation of reports and spreadsheets for accounting and operations teams. Perform additional administrative and accounting duties as required to support company operations. Qualifications 2+ years experience in administrative support, accounting support, or office administration roles. Post-secondary education in Business Administration, Accounting, or Office Administration is considered an asset. Familiarity with general accounting principles. Experience with accounting or job-costing software is considered an asset. Strong proficiency in Microsoft Office (Excel, Word, Outlook). Strong attention to detail and data accuracy. Excellent organizational and time management skills. Strong communication and interpersonal skills. Ability to work independently and collaboratively in a team environment. Experience working in construction, industrial services, or project-based environments is an asset.
