Were currently growing our team of Artisans with an Office Manager located in Sherwood Park, Alberta who will support the Sherwood Park office while also providing administrative support to our Fort McMurray location through virtual coordination and periodic in-person visits. Were looking for someone who lives out our core behaviors by displaying a servants heart, leading with empathy, and bringing enthusiasm to how they serve others and approach their work. This role plays an important part in ensuring the office operates smoothly and efficiently so operational teams, leadership, and visiting clients experience a well-organized and professional environment. The successful candidate will be engaged as a contract employee through an approved staffing agency for approximately 36 months. Following this period, the role is intended to transition to a direct employment position, subject to performance and organizational needs. Requirements Duties & Responsibilities Creates and maintains a safe, supportive work environment where Artisans can perform at their best, ensuring all safety standards are met and the workspace is welcoming and productive. Serves as a professional point of contact by interacting with clients, prospective clients, vendors, and industry partners, ensuring a welcoming and positive representation of RTI. Coordinates and manages administrative activities for the office including document preparation, data management, and operational support for Operations, Business Development, and Safety teams. Collaborates with the External Events Specialist to identify, source, and procure local swag in support of events and office needs. Procures local PPE and operational supplies, ensuring all purchases align with client requirements and RTIs quality standards. Supervises the maintenance of office equipment, including copiers, fax machine, exterior building, etc. Responsible for the daily facilities operations of the Sherwood Park and coordination of facility support needs for the Fort McMurray offices, ensuring proper building access, climate control, and overall functionality. Maintains and replenishes inventory of office, kitchen, and shop supplies. Assists in arranging meetings, appointments, refreshments, events, etc. Maintains and protects and security of files and records including company vehicles and insurance. Supports management of pool truck inventory and repairs, registrations, documentation etc. Collaborate with teams in other RTI locations to support and fulfill any local needs related to operations support group, logistics, inventory, purchase orders, accounts payable, (status of shipments, documentation, etc.). Responsible for the office to ensure effective telephone and mail communications both internally and externally to maintain a professional image. Negotiates the purchase of office supplies and furniture, office equipment, etc., for the staff in accordance with Company purchasing policies and budgetary restrictions. Able to support company tools by entering data, running reports on RTI database, SharePoint, Replicon, Navan, etc. Follows administrative processes to ensure consistency across RTI offices. Supports local office project sites (SharePoint/intranet). Provide input to Communications for local office (e.g. newsletter, intranet, LinkedIn) stories. Coordinate any service projects, regional events, or client events in the local area with support and direction from Communications Events Specialist (based in Spring). Work on corporate projects to support administrative and communications teams, as appropriate. Minimum Qualifications Working knowledge of mail processes such as postage machine, 3rd party shipping Professional appearance and manner Computer proficiency including Microsoft Office Suite and the ability to learn internal systems such as SharePoint, Replicon, Navan, and RTI databases. Capacity to interact with employees and vendors in a professional manner Ability to multi-task and adapt to changing priorities Excellent planning and problem-solving skills Strong organizational skills and attention to detail Excellent interpersonal, written, and verbal communication skills Additional or Preferred Qualifications Some higher education is preferred. Three years experience required in an office environment. Working Conditions / Physical Demands Ability to lift 15-30 pounds as needed when moving mail, business files and/or papers. Work is primarily performed in an office environment using standard office equipment. This position is based on site in the Sherwood Park office and is expected to work in the office five days per week. Travel Requirements Travel may be required on an asneeded basis for training and offsite meetings, including Houston, TX. Periodic travel to Fort McMurray office will also be required to support operations, with a minimum of two visits per year and additional visits as needed.
