The Role: Reporting to the Director, Human Resources, the Payroll Specialist is responsible for managing and executing accurate, timely payroll processes for 500+ hourly and salary employees across multiple sites in different provinces providing exceptional service to employees and internal stakeholders. This role ensures compliance with Canadian payroll legislation, maintains employee trust, and supports organizational efficiency by leveraging ADP Workforce Now (WFN) for payroll administration and working closely with HR and Finance to ensure accurate employee data and cost reporting. Key Responsibilities: Process bi-weekly payroll across multiple sites using ADP Workforce Now. Accurately calculate earnings, deductions, benefits, and government remittances. Ensure full compliance with federal, provincial, and local payroll regulations. Handle payroll-related inquiries and resolve any discrepancies swiftly. Prepare and reconcile payroll reports for Finance and HR leadership. Support year-end processes (e.g., T4s, ROEs, and government filings). Collaborate with HR on employee data changesonboarding, transfers, terminations. Continuously audit workflows to ensure accuracy and identify process improvements. Qualifications: 5-7 years of professional payroll experience in a multi-site environment. Experience in food distribution, manufacturing, or processing settings is highly preferred. Proficiency in ADP Workforce Now is required. Strong understanding of Canadian payroll legislation and compliance standards. Advanced Excel skills (proficiency with Pivot Tables, VLOOKUPs, and complex formulas for auditing is required). Strong organizational and communication capabilities. Payroll Compliance Practitioner (PCP) certification is an asset. Key Attributes for Success: Technical Expertise Deep knowledge of ADP Workforce Now and its functionalities. Strong understanding of Canadian payroll legislation and compliance. Ability to manage multi-site payroll complexities. Accuracy & Attention to Detail Meticulous approach to auditing and validation to ensure 100% payroll accuracy. Time Management Ability to meet strict payroll deadlines consistently. Efficient in handling high-volume transactions under time pressure. Problem-Solving Quick resolution of payroll discrepancies and employee inquiries. Proactive in identifying process improvements and preventing issues. Confidentiality & Integrity Maintains strict confidentiality of employee data and financial information. Demonstrates ethical decision-making in sensitive situations. Communication Skills Clear and professional communication with employees, HR, and Finance teams. Ability to explain payroll processes and policies in simple terms. Adaptability Comfortable working in a fast-paced food distribution and processing environment. Flexible to handle changing regulations, technology updates, and organizational needs. Analytical Skills Strong ability to interpret payroll reports and identify trends.
