This is a hands-on leadership role managing both administrative staff and clinicians while ensuring smooth clinic operations, strong patient experiences, and efficient workflows. Spartan Wellness is a fully virtual medical clinic supporting Canadian Veterans, First Responders, and civilians through integrative and patient-centered care. Our services include transitional medicine, psychosocial support, medical cannabis prescriptions, naturopathy, and more, all delivered remotely by a collaborative team of healthcare professionals. What You''ll Be Doing Operational Leadership: Oversee the day-to-day operations of a national virtual clinic Ensure scheduling, patient intake, documentation, and follow-ups run smoothly Address operational issues escalated from administrative staff or clinicians Identify bottlenecks and implement practical solutions to keep operations running efficiently Team Leadership & Staff Management: Manage and support a team of approximately 14 staff, including administrative personnel and clinicians Conduct regular check-ins, performance discussions, and team support Assist with onboarding and training of new team members Foster a collaborative environment focused on accountability, teamwork, and continuous improvement Workflow & Process Management: Ensure SOPs, workflows, and documentation standards are followed across the organization Maintain consistency and operational standards across provinces Monitor processes such as patient labs tracking, scheduling, and clinical coordination KPI Tracking & Operational Reporting: Maintain weekly and monthly operational KPI dashboards Track metrics such as clinician capacity, utilization, no-show rates, and workflow compliance Identify trends and operational gaps to support business growth and patient demand Billing & Compliance Oversight: Ensure billing documentation and submission processes are accurate and timely Support the administrative billing team and ensure documentation compliance Coordinate with leadership and finance on reporting and reconciliation when needed What We Are Looking For Required 37 years of experience in healthcare or clinic operations Experience managing teams and supervising staff Strong organizational and operational leadership skills Excellent communication skills and ability to work in a fully virtual environment Comfort managing multiple priorities and problem-solving in real time Experience with EMR systems and healthcare workflows Nice to Have Experience working in virtual or telehealth clinics Clinical background (Nurse, NP, or other healthcare professional) with management experience Experience supporting national or multi-province healthcare operations Strong analytical skills and experience working with KPIs and operational reporting What Makes Someone Successful in This Role Were looking for someone who is: Action-oriented and proactive Comfortable solving problems quickly and creatively Curious and eager to improve processes Collaborative and team-focused Able to balance clinical, administrative, and operational needs This role requires someone who takes initiative and brings teams together to find solutions.
