Job DescriptionThe Executive Assistant provides high-level administrative and strategic support to the CEO and executive team in a fast-paced financial services environment. The role acts as a key partner to the CEO and executive team by managing and anticipating complex priorities and ensuring executives time and strategic objectives are optimized. The EA is expected to operate with confidentiality, professionalism, and exceptional organizational capability.Job Requirements5+ years of executive support experience (preferably in financial services or professional services).Strong verbal and written communication skills.Effective relationship-building and diplomacy skills.Exceptional organization, prioritization, and problem-solving ability.Ability to anticipate the needs of executives and proactively meet those needs with minimal guidance and supervision.Ability to handle confidential information with professionalism.Ability to work flexible hours (occasional early mornings/late evenings and weekends).Job ResponsibilitiesExecutive Support & AdministrationManage and optimize complex executive calendars with proactive conflict resolution.Coordinate national and international travel arrangements (itineraries, accommodations, visas, expenses).Prepare, edit, and distribute professional documents, correspondence, reports, and presentations.Handle confidential and sensitive information with utmost discretion.Monitor deadlines, action items, and follow-ups across multiple stakeholders.Support and assist executive team members with project management.Meeting & Event CoordinationOrganize logistics for internal/external meetings and events (agendas, venues, materials, catering).Support board meetings, offsites, and investor or client events as needed.Administrative OperationsOversee expense reporting and other administrative systems as required.Step in for occasional office management responsibilities when Office Manager is away or when additional support is needed.Job BenefitsCompensationThe annual salary range for this permanent, full-time role is between $80-90,000 CAD.
