Event Rental Coordinator Remote Job Details Department: Sales Location: Fully Remote (Must be available during Central Standard Time working hours) Hours: Monday Friday, 8:00 AM 5:00 PM CST Manager: General Manager Review Period: Semiannually Compensation: Hourly Objective The Remote Event Rental Sales Coordinator serves as a key point of contact between clients and the Pinnacle Event Rentals team, ensuring a seamless experience from initial inquiry through booking and execution. This role is responsible for managing rental inquiries, preparing quotes and contracts, assisting clients with product recommendations, and coordinating event logistics with internal teams. The Sales Coordinator plays an important role in converting inquiries into confirmed bookings while maintaining exceptional customer service standards. This position also supports quoting and coordinating VIP Portable Washroom trailer rentals , assisting clients with selecting appropriate sanitation solutions for their events. This is a fastpaced sales coordination role where strong organization, clear communication, and the ability to manage multiple client inquiries simultaneously are essential. The ideal candidate is highly organized, detailoriented, comfortable working remotely, and capable of balancing customer service with proactive sales followup. Core Duties Manage incoming rental inquiries through phone, email, and online submissions Prepare accurate quotes and rental contracts using company software Assist clients with product recommendations based on event size, location, and needs Provide quotes and support for VIP Portable Washroom trailer rentals Follow up on open quotes and actively work to convert inquiries into confirmed bookings Maintain an organized sales pipeline and track potential opportunities Maintain detailed records of client interactions, booking details, and event updates Communicate event details and logistics to internal operations and warehouse teams Track inventory availability and communicate any shortages or substitutions Support clients throughout the rental process before, during, and after their event Assist with resolving client concerns, scheduling conflicts, or inventory challenges Responsibilities Maintain strong knowledge of Pinnacle inventory and rental offerings Recommend alternative solutions when requested inventory is unavailable Communicate proactively with clients regarding timelines, delivery expectations, and return procedures Work closely with the Operations team to ensure successful event execution Coordinate with accounting regarding deposits, invoices, and payment followup Identify opportunities to improve quoting workflows and sales processes Maintain accurate records and notes within company systems Provide clear internal communication regarding event updates and client requests Attend internal virtual meetings and maintain alignment with the sales and operations teams Remote Work Expectations Maintain full availability during working hours (8 AM 5 PM CST) Respond to client communications promptly and professionally Maintain reliable internet connection and a professional remote workspace Participate actively in team meetings and internal communications Remain highly organized and proactive while managing workload independently Use company systems and communication tools effectively ( Google Workspace, Connecteam, rental software, etc. ) Qualifications Experience in customer service, coordination, sales, or administrative support Previous experience in the event, hospitality, or rental industry is considered a strong asset Strong written and verbal communication skills in English Highly organized with excellent attention to detail Ability to manage multiple client conversations and deadlines simultaneously Comfortable learning and using cloudbased software systems Proficiency with Google Workspace (Docs, Sheets, Gmail) Previous experience working remotely is considered an asset What Success Looks Like in This Role Client inquiries are handled quickly and professionally Quotes are prepared accurately and efficiently Opportunities are followed up consistently and converted into bookings Communication between clients and internal teams remains clear and organized Clients feel supported and confident throughout their rental experience Internal teams receive accurate information allowing events to run smoothly How to Apply To apply, please submit the following: Your resume or LinkedIn profile A short written introduction about your experience A 12 minute video introducing yourself In the video, please briefly explain: Who you are Why you believe you would be a strong fit for this role Your experience handling customer inquiries or preparing quotes Send applications to: [email protected] Only applicants who submit a video will be considered.
