Description As the backbone of support to our leadership team, the Chair and the Academic Department Manager, youll drive seamless administrative operationscoordinating meetings, managing communications, and supporting strategic initiatives. Your organizational expertise will keep our department running smoothly, ensuring confidentiality and efficiency in a fast-paced academic environment. You will support departmental leadership with high-level administrative coordination: governance, communications, and operational initiatives. Manage calendars, meetings, and records while ensuring confidentiality and efficiency in a dynamic environment. Responsibilities Executive & Strategic Support Manage complex physician calendars, prioritizing competing demands. Provide backup support to the departments other Executive Assistant. Governance & Meetings Organize leadership and committee meetings: agendas, logistics, minutes, and tech support. Maintain governance records per institutional standards. Communication & Correspondence Draft and edit emails, letters, announcements, and briefing notes. Research & Reporting Compile data for reports, presentations, and strategic documents. Create charts, graphs, and spreadsheets to track metrics and initiatives. Develop customized reports for specialized needs. Operational Support Assist with event planning, retreats, and special projects. Qualifications Education: Degree or Diploma in Business Administration Experience: 3+ years of progressive office administration experience; post-secondary environment experience preferred. Operational Skills: Demonstrated success in event coordination, complex data management, and high-accuracy reporting. Soft Skills: Proactive self-starter with a strong collaborative mindset and meticulous attention to detail. Communication Skills: Exceptional interpersonal skills with a proven ability to handle sensitive information with tact and discretion. Fluent in both verbal and written communication. Adept at engaging effectively with individuals from diverse cultural backgrounds. Technical Proficiency: Advanced expertise in MS Office, Google Workspace, and database management.
