They are seeking an Accounting, Finance & Payroll Manager to support the organizations accounting and financial operations, reporting, and administrative processes. THE OPPORTUNITY The Accounting, Finance & Payroll Manager is a key individual contributor and the sole internal resource responsible for the organizations accounting, finance, and payroll functions. Reporting to the Executive Director, this role oversees day-to-day financial operations including bookkeeping, maintaining accurate financial records, and supporting the monthly reporting cycle through preparation of financial statements and reconciliations for leadership. Working closely with the Executive Director, the role also supports budgeting and overall financial oversight. This position also manages payroll administration to ensure staff are paid accurately and on time while maintaining compliance with applicable regulations. The Accounting, Finance & Payroll Manager manages banking relationships and serves as the primary liaison with the external accounting firm responsible for year-end financial statements and audit activities, helping ensure strong financial governance and internal controls. RESPONSIBILITIES Maintain the accounting system and ensure all financial transactions are recorded accurately. Prepare monthly financial statements and reports for leadership and Board reporting. Maintain organized financial records and ensure effective internal controls. Serve as the primary contact for CRA, insurance, benefits providers, and other financial partners. Manage payroll processing for a small team, ensuring accuracy and compliance. Ensure required CRA remittances are completed on time. Coordinate employee benefits programs with external providers. Review and recommend improvements to payroll processes or systems where appropriate. Accounts Payable & Receivable Oversee all AP and AR activities, including invoicing and timely payment of expenses. Manage expense claims, corporate credit cards, petty cash, and payment processing. Prepare cheques or electronic payments as required. Respond to financial inquiries and support staff and partners with financial processes. Grants & Donations Record and track grants, donations, and charitable receipting. Support grant reporting and maintain deferred contribution accounts. Ensure accurate financial tracking of funding sources. Budgeting, Banking & Audit Support annual budgeting in collaboration with the Executive Director. Maintain banking relationships and monitor bank accounts and cash flow. Coordinate with external auditors and support the annual audit process. Provide ad hoc financial reporting and analysis as required. Organizational Collaboration Contribute to a positive and collaborative workplace culture. Support organizational initiatives, events, or activities when appropriate. Work effectively with staff, volunteers, and external partners. THE INDIVIDUAL Given the pivotal role this individual will be expected to play in achieving the strategic objectives of the company and in supporting the success of the organization, it is essential that the successful candidate possess the following core competencies, experience, and attributes: Education Post-secondary education in accounting, finance, bookkeeping, business administration, or a related field is considered an asset; equivalent practical experience will also be considered. Experience Minimum of 3 years of experience in a similar accounting, finance, or bookkeeping role, with a strong understanding of proper bookkeeping practices and financial record management. Experience managing payroll processes, ensuring accurate and timely compensation while maintaining compliance with applicable regulatory and remittance requirements. Demonstrated experience supporting the preparation and monitoring of organizational budgets, including tracking expenditures and providing financial insights to leadership. Experience producing, maintaining, and analyzing financial reports to support sound financial oversight and decision-making. Experience working with accounting software systems and maintaining accurate financial records. Proficiency with Microsoft Office applications, including Excel, Word, and Outlook. Experience working within a non-profit or charitable organization is considered an asset. Ability to successfully obtain and maintain a Childrens Services Vulnerable Sector Check.
