Receptionist / Customer Care Representative Canada Location: Canada Department: Customer Care Reports To: Director, Operations & Administration Position Summary The Receptionist / Customer Care Representative serves as the first point of contact for both internal and external stakeholders, ensuring a high level of professionalism and customer service. This role is responsible for managing front-desk operations, processing customer orders, and supporting clients with inquiries, ensuring timely and accurate service delivery. Key Responsibilities Serve as the primary point of contact for incoming calls, visitors, and customer inquiries Greet and direct guests in a professional and courteous manner Manage order intake, processing, and coordination with internal teams to ensure timely delivery Liaise with distribution to support accurate and efficient product shipments Provide product support and basic technical assistance to customers Handle customer complaints with a strong focus on resolution and service recovery Process customer returns and maintain accurate records Coordinate meetings, conference calls, and boardroom bookings Perform general administrative duties (mail distribution, filing, data entry, etc.) Maintain and update customer records and documentation Collaborate with accounting and sales teams to ensure alignment and communication Support additional projects and tasks as assigned Qualifications Previous experience in reception, customer service, or a related role Strong communication and interpersonal skills High level of professionalism and customer-focused mindset Strong organizational and multitasking abilities Comfortable working with computer systems and basic office software Education & Experience High school diploma required Post-secondary education or relevant experience in customer service is an asset Working Relationships Internal: Cross-functional teams including sales, distribution, and accounting External: Customers, clinicians, and vendors Additional Information No direct reports This role requires strong attention to detail and the ability to manage multiple priorities in a fast-paced environment
