Job Description

This role operates at a high level of trust and responsibility, supporting the effective management of the Principals multifaceted business and personal affairs. Given the Principals extensive domestic and international travel commitments, the position requires exceptional attention to detail, forward planning, and the ability to anticipate needs well in advance. Key Responsibilities: Oversee the Principals highly complex international schedule, including coordination of meetings and travel, ensuring accuracy and proactive long-range planning. Manage active travel itineraries and future bookings, remaining responsive to evolving priorities and last-minute adjustments across multiple time zones. Lead all aspects of family travel logistics, coordinating closely with aviation personnel, transportation providers, household teams, and external partners to deliver a seamless experience. Act as a central point of contact for communications, including emails, calls, and board-related materials, ensuring the Principal is fully briefed and prepared. Coordinate closely with senior leadership and external parties to arrange meetings and support board activities, with all documentation organized well in advance. Produce detailed daily briefing materials outlining schedule, priorities, and required background information. Maintain readiness to travel on short notice, both domestically and internationally, as needed. Ensure day-to-day operations run smoothly by anticipating needs and preparing environments ahead of the Principals arrival when onsite. Review, reconcile, and track invoices, maintaining organized and accurate records. Provide additional administrative and operational support as required. What You Bring: Proven success supporting C-suite leaders. Expertise coordinating complex global travel, including private aviation and overseas arrangements. Calm under pressure, proactive, and highly organized with impeccable attention to detail. Absolute discretion and flexibility to support changing priorities, including occasional out-of-hours work. Process oriented and high-level of initiative. Advanced MS Office skills. Extremely efficient with their time, effective time-management is critical. Requirements: Minimum of 5 years experience as an Executive Assistant supporting C-suite leadership, with demonstrated longevity in prior roles and a solid track record in administrative and executive support. Degree preferred but not essential. Considerable demonstrable experience with complex travel arrangements for senior executives, including with private aviation, and car service both domestic and international is highly desirable. Flexible after-hours when required to monitor ongoing travel plans in order to be responsive to required changes. Please note that this role is based full-time onsite (no option for remote work).
