Job Description

We are looking for a detail-oriented Customer Service & Operations Coordinator to support our trading and customer service teams. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in ensuring orders are processed accurately and delivered on time. You will work closely with Customer Service Representatives and Traders to coordinate orders, manage logistics, and ensure a smooth customer experience from order placement through delivery. Key Responsibilities Collaborate with Customer Service Representatives and Traders to support customer needs and ensure smooth order processing Receive and process customer orders via phone and email Confirm orders and coordinate delivery schedules and invoicing timelines Prepare customs documentation and monitor import/export clearance status Maintain accurate customer records, purchase orders, trade expenses, and sales invoices using Microsoft Office and Dynamics 360 Participate in internal meetings and provide updates on open orders, deliveries, and potential issues Coordinate logistics by sourcing carrier bids and arranging transportation Troubleshoot delivery changes, delays, or scheduling adjustments as needed Manage and track customer inquiries, complaints, credits, and damaged goods Monitor and assist with TRQ inventory levels, including expense tracking and application support Stay informed on dairy product knowledge, market trends, and customer needs Manage inquiries through the shared Customer Service email inbox and respond to requests promptly Provide general administrative and operational support to the team as required What Were Looking For Strong customer service and communication skills Highly organized with strong attention to detail Ability to manage multiple orders, priorities, and deadlines simultaneously Comfortable handling customer concerns and resolving issues professionally Experience coordinating logistics, shipments, or order fulfillment is an asset Proficiency with Microsoft Office and experience with ERP systems (Dynamics 360 preferred) A proactive mindset with strong problem-solving skills Disclosure: This job advertisement is for an existing vacancy and is not for general talent pooling or speculative recruitment.
