Job Title: Operations Systems & Data Coordinator Reports To: Head of Operations Department: Operations (CrossFunctional Support) Location: Hybrid (3 days in office per week, Monday, Tuesday and Thursday) Role Overview The Operations Systems & Data Coordinator is responsible for maintaining the accuracy, integrity, and organization of data across all core operating systems, including Cin7, Shopify, MarketTime, NuOrder, HubSpot, and 3PL platforms. This role serves as the operational backbone of the business ensuring that product, pricing, inventory, CRM, and digital asset data are accurate, aligned across systems, and launchready at all times. Working crossfunctionally with Sales, Marketing, Product, Finance, and Fulfillment, this role protects data integrity, supports revenue channels (DTC and Wholesale), and ensures operational consistency as the company scales. The ideal candidate is highly detailoriented, systemsminded, processdriven, and excited to grow into increasing ownership over time. Core Responsibilities Upload and fully configure products in Shopify, including variants, pricing, descriptions, tags, collections, and inventory synchronization. Input and verify accurate product dimensions, weights, and shipping attributes for each SKU. Ensure dimensional and shipping data align with ERP (Cin7) and 3PL systems. Own product page accuracy and completeness prior to launch. Organize and merchandise product images in optimal order. Maintain structured tagging and collection alignment. Conduct thorough QA of all Shopify products prior to golive, including fulfillment mapping and shipping settings. Upload and maintain product data across Cin7, MarketTime, and NuOrder. Ensure SKU accuracy, cost integrity, pricing alignment, and lifecycle status updates. Maintain accurate SKUlevel data including cost, pricing, inventory status, dimensions, and weight alignment across systems. Maintain wholesale account data and pricing structures. Validate product setup prior to wholesale and seasonal deadlines. Audit and resolve crossplatform discrepancies. Maintain CRM data hygiene and integrity in HubSpot. Deduplicate contacts and accounts. Ensure accurate tagging, segmentation, and account categorization. Support campaign list preparation and reporting. Maintain CRM data entry standards across departments. Sort, label, and organize image assets for Marketing and product launches. Maintain consistent file naming conventions and asset taxonomy. Ensure imagery is properly aligned across Shopify, wholesale platforms, and internal systems. Maintain accessible, structured digital asset libraries. Conduct monthly reconciliation across Cin7, Shopify, MarketTime, NuOrder, HubSpot, and 3PL systems. Validate inventory quantities between ERP and fulfillment systems. Review pricing and cost discrepancies across platforms. Audit wholesale data and CRM records for accuracy. Identify inconsistencies and proactively resolve discrepancies. Deliver a monthly Data Integrity Summary to the Head of Operations. Build and distribute recurring operational and commercial reports. Support adhoc data requests across departments. Maintain structured reporting templates and dashboards. Ensure reporting accuracy and crossplatform consistency. Own SKU naming conventions and system data standards. Maintain and document system SOPs. Act as internal gatekeeper for system uploads and data changes. Identify opportunities for workflow improvements and light automation. Support system integrations and testing initiatives. Support system improvements and operational initiatives. Assist with integration or process optimization projects. Provide structured support during peak seasons and growth phases. Qualifications 24+ years experience in operations, systems coordination, eCommerce management, or CRM/data administration. Strong Shopify experience (product setup and merchandising required). Experience with ERP systems (Cin7 preferred). CRM experience (HubSpot preferred). Proficiency in Excel or Google Sheets. High attention to detail and strong organizational skills. Ability to manage multiple platforms and competing priorities. Strong communication and crossfunctional collaboration skills.
