Job Description

We are seeking a highly organized and serviceoriented Administrative Coordinator / Corporate Concierge to work on a contract position with one of our O&G clients in Calgary, AB.Support daytoday workplace operations and ensure a seamless experience for internal teams, executives, and visiting clients. This role is fastpaced, handson, and ideal for someone transitioning from hospitality into a corporate environment.The successful candidate will collaborate closely with the Executive Assistant and office leadership, providing meeting support, guest services, logistical coordination, and general administrative assistance. It is a dynamic support role focused on hospitality, operations, and client care.Key ResponsibilitiesClient & Stakeholder HospitalityWelcome and greet clients, visitors, and external stakeholders with professionalism and warmth.Offer beverages such as water or coffee, ensuring a hightouch guest experience.Prepare meeting rooms before sessions and perform light room reset/cleanup afterward.Meeting & Office SupportSet up and maintain meeting rooms, ensuring equipment, supplies, and materials are in place.Assist with printing and assembling presentations, reports, and meeting collateral.Coordinate catering orders and ensure timely delivery and room prep.Support the Executive Assistant with administrative tasks and logistics.Workplace Operations & LogisticsPerform light facilities coordination, helping teams access resources or navigate the workspace.Assist with vendor coordination as needed.General Administrative AssistanceSupport employees across departments with daily operational needs.Manage small tasks across multiple office areas, including traveling between floors or buildings as required.Help maintain an organized, efficient, and welcoming office environment.QualificationsRequiredPrevious experience in hospitality, restaurant service, or guestfacing rolesStrong customer service mindset with the ability to stay composed in a fastpaced corporate setting.Excellent communication, organization, and multitasking skills.Proficiency in basic administrative tasks: printing documents, preparing materials, coordinating food orders, etc.PreferredPrior experience in a law firm or corporate office environment.Experience in concierge, client services, or frontofhouse roles.Interest in developing within a corporate career path.
