Position Overview We are seeking a proactive, detail-oriented Client Services Associate to support our Client Services Team on a 15-month term contract with a defined end date , with any extension subject to business needs and confirmed in writing. This role will focus on day-to-day coordination of client communications, administrative support, and resolution of general client inquiries. Working alongside the Client Services Coordinator, the Associate will ensure timely, professional client support while helping streamline internal workflows and enhance the overall client experience. Key Responsibilities: Client Onboarding & Administration Assist with client onboarding, including gathering documentation, managing checklists, and coordinating initial administrative setup. Follow up on proposal signatures, service agreements, billing inconsistencies, and client questionnaires. Coordinate the setup of client portals, payment methods, and file-sharing systems. Client Communication & Support Serve as the first point of contact for routine client inquiries, particularly related to CRA accounts, document requests, and minor technical questions. Build and maintain assigned client relationships. Track and follow up on outstanding client documents and information requests. Respond to minor service-related questions. Identify client process training needs and deliver the appropriate training to ensure compliance with Cappit workflows. Internal Coordination Support the production teams by following up with clients for minor deliverables or clarifications. Help organize and update client files, workflows, and task trackers using internal tools. Manage incoming communications and direct client questions to the appropriate team member when necessary. Process Support Prepare client-facing documents and support revisions. Participate in process documentation and improvement initiatives related to client services. Support the implementation of client communication campaigns, service updates, and other client engagement initiatives. Qualifications Post-secondary education in Business Administration, Accounting, Finance, or a related field. 3-5 years of experience in a client-facing or administrative support role (experience in a professional services or accounting firm is an asset). Excellent written and verbal communication skills. Strong organizational skills and attention to detail. Proficiency with Microsoft Office Suite and comfort with cloud-based collaboration tools. Experience with accounting or CRM software is a plus. Skills Friendly, courteous, and client-focused. Able to manage multiple tasks and deadlines effectively. Able to work independently and as part of a team in a fast-paced, remote environment.
