Employment Opportunity: Executive Assistant in Thompson Executive Assistant Full-Time Position Location: Thompson, Manitoba The Executive Assistant provides high-level administrative, organizational, and strategic support to the Executive Director (ED) of Manitoba Keewatinowi Okimakanak (MKO). This role ensures the Executive Directors office operates efficiently by managing schedules, preparing documentation, coordinating communications, supporting key governance functions, and maintaining strong relationships with MKO leadership, staff, First Nations, external partners, and government officials. The Executive Assistant is a key representative of the Executive Directors office and must always demonstrate professionalism, discretion, cultural sensitivity, and sound judgment. Role and Responsibilities Executive Support Manage the Executive Directors calendar, appointments, travel arrangements, and meeting logistics. Prepare briefing notes, meeting packages, presentations, and background materials as required. Draft, proofread, and edit correspondence, memos, statements, and reports. Track tasks, follow-ups, and deadlines to ensure timely progress of priorities. Support strategic initiatives and special projects assigned by the Executive Director. Governance & Leadership Support Assist in preparing materials for Chiefs, MKO Executive Council, and leadership meetings. Record and distribute meeting minutes and action items when required. Maintain accurate records of resolutions, decisions, and governance documents. Coordinate communication between the Executive Director and MKO departments, communities, and external partners. Communications & Relationship Management Serve as the primary point of contact for inquiries directed to the Executive Directors office. Build and maintain respectful, culturally sensitive relationships with Chiefs, community representatives, government officials, and stakeholders. Assist in preparing official statements, event remarks, and written communications. Coordinate responses to community inquiries and follow up on commitments and action items. Administrative & Office Management Organize and maintain electronic and physical filing systems for the Executive Directors office. Ensure the Executive Directors desk and office area are kept clean, organized and presentable at all times to support productivity and professionalism. Process travel claims, invoices, and administrative documents. Support planning and logistics for meetings, conferences, community engagements and assemblies. Handle confidential and sensitive information with discretion and integrity. Organizational Coordination Work collaboratively with MKO senior leadership, program directors, and administrative staff to support cross-department coordination. Assist with the development of annual reports, strategic documents, and internal communications. Monitor deadlines for reporting, submissions, and intergovernmental correspondence. Perform additional duties as it pertains to this role as requested. MKO is a political advocacy organization that works to represent the leadership and member First Nations. All staff at MKO may be given other duties as assigned that enable MKO to fulfill the mandate and responsibility to its member communities. Education and Experience Post-secondary education in administration, business, communications, or a related field; or equivalent combination of education and experience. Experience supporting senior leadership or executive-level roles. Experience working with Indigenous organizations, First Nations leadership, or government offices (strong asset). Exceptional organizational and time-management skills. Strong written and verbal communication with high attention to detail. Strong ability to manage confidential information with integrity. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) and SharePoint, and digital meeting tools such as Fireflies. Strong interpersonal skills and ability to work with diverse stakeholders. Able to exercise sound judgment and diplomacy and professionalism. Valid Class 5 drivers licence and willingness to travel. Ability to obtain and provide a satisfactory Criminal Record Check (including Vulnerable Sector Search) and Child Abuse Registry Check.
