Who You Are You are a highly organized, dependable, and proactive administrative professional who thrives on followthrough and consistency. You are comfortable supporting senior leaders, managing multiple priorities, and keeping daytoday office and administrative work running smoothly across the organization. You exercise good judgment, know when toescalate, and take pride in being someone others can rely on. Responsibilities Provide daytoday administrative and operational support across the organization, including direct support to the CEO and executive team. Manage executive and leadership calendars, meeting scheduling, and coordination. Coordinate logistics for executive, management, and internal meetings, including agendas, materials, setup, notes, and followups. Support whole office administrative needs across departments, not limited to Operations. Support approved hiring logistics, including posting job ads, scheduling interviews, and coordinating candidate communications. Coordinate routine office, administrative, and operational needs with vendors and internal teams. Maintain operational trackers, contracts, calendars, documentation, and internal workflows. Support onboarding and offboarding logistics in collaboration with HR and IT. Assist with crossoffice coordination between our Calgary and Kelowna offices. Identify small process improvements and flag opportunities to reduce friction or rework. Skills Requested Strong organizational and timemanagement skills. Excellent written and verbal communication. High attention to detail and reliability. Ability to manage competing priorities in a fastpaced environment. Comfort working closely with senior leadership. Proficiency with Microsoft365 and common office systems. Skills That Would Be Considered Assets Experience supporting executives or leadership teams. Experience in financial services or a regulated environment. Experience and expertise in workflow automation, AI tools, or process improvement.
