You will work closely with the Managing Director and play a key role in keeping our Toronto office organized, efficient, and professional.Key ResponsibilitiesExecutive SupportProvide administrative support to the Managing DirectorManage complex calendar scheduling and meeting coordinationPrepare presentations, reports, and internal documentationCoordinate travel arrangements (flights, accommodations, itineraries)Manage confidential correspondence with discretionFinance & Bookkeeping Management Process and track invoices and expense reports for internal and external partiesManage accounts payable and receivableTracking monthly expendituresLiaise with external accountant/bookkeeper and vendors as requiredOffice Management & OperationsOversee day-to-day office operationsCoordinate vendors, service providers, and facility-related matters, including liaising with the landlord, managing permits and deliveriesManage office supplies, equipment, IT coordination (with external providers)Support organizing company events and team meetingsMaintain structured internal processes and documentationAdministrative Support Prepare employment documents and maintain personnel filesAssist with vacation tracking and absence documentationSupport onboarding coordinationFiling and managing project related documents including proposals and contractsKnowledge of data architectureYour Qualifications5+ years of experience as an Executive Assistant, Office Manager, or similar roleStrong organizational and multitasking skillsHigh level of discretion and professionalismProficiency in Microsoft Office, including SharePoint management, Excel and AdobeExperience with bookkeeping software is an asset, such as QuickBooks or other common softwareStrong written and verbal communication skillsSelf-starter mindset with the ability to work independentlyWhy Join Us?
