Reporting directly to the President and CEO, the role plays a pivotal part in advancing Canadores strategic priorities by translating vision into action across the college while fostering alignment, innovation, and organizational effectiveness. Serving concurrently as the Secretary of the Board of Governors, the incumbent also operates at the highest level of governance, ensuring strong connections between Board direction and executive execution. This highly visible and trusted position offers a rare combination of strategic influence, executive partnership, and enterprise-wide impact, contributing not only to the success of the college but also to the broader economic and social vitality of the communities Canadore serves, its partners, and, most importantly, the vibrant community of learners who call Canadore home.Qualifications:College Diploma in Office/Executive/Business Administration or an equivalent combination of education and relevant experience; additional public relations, project management credentials are considered an assetUp to seven (7) years of related work experience, including at least three (3) years of progressive experience meeting challenges and seeking resolutions, preferably in a post-secondary environmentDemonstrated experience working with confidential informationExperience in formulating and monitoring complex budgetsWell-developed planning, organizational, and time management skillsDemonstrated ability to interact effectively with a wide variety of people at all levels in an organizationKnowledge and comprehension of college programs, policies, and organizational structures, including College decision-making processes, an assetAbility to gather information, analyze, evaluate, formulate, and recommend the appropriate course of actionExcellent verbal and written communication skills and highly developed minute-taking/writing skillsStrong computer skills (i.e., word processing, spreadsheets, and presentation software)Previous experience working with various staff within a unionized settingKnowledge of, and sensitivity to, gender, race, sexual orientation, age, and multicultural issuesWilling to travel between campusesMust be able to reliably commute and/or relocate to North Bay, ON, requiredResponsibilities:Assistant to the PresidentProvide confidential executive assistant services to the President in duties that support the Presidents workplan, the Colleges strategic plan, and the Presidents membership on regional, provincial, national and international bodies.Manage the Presidents calendar including meetings with key political figures, community leaders, committees and boards, student government and senior management, and handles related conflicts, logistics and travel arrangements.Develop and coordinate the automated correspondence system and electronic scheduling systems for all incoming and outgoing inquiries and mail for the Presidents Office.Coordinate and attend Senior Executive Team and Senior Leadership Team meetings and prepare and maintain agendas and action summaries.Prepare reports and correspondence for the Presidents signature based on knowledge of the subject matter and additional research, as required.Prepare annual operating budget estimates for the Presidents Office, including cost projections, financial forecasts, and rationale for projects. Maintain and monitor associated budgets.Coordinate the Colleges charitable contributions and maintain a register of donations. Maintain and monitor the Community Donations/Events budget.Prepare requisitions for the purchase of goods and services.Coordinate continuous review of operational policies and procedures, maintain a log of academic, operational, and corporate policies and procedures, and ensure policies and procedures are posted to the Colleges intranet and website.Monitor compliance and ensure development and publication of Ministry-directed reports including, but not limited to, the Annual Report, Strategic Mandate Agreements, and the Business Plan.Maintain detailed knowledge of the Colleges mandate, policies, procedures, programs, organizational structure, plans, goals and objectives. Proactively identify opportunities for improving or expanding service to collaborators and initiate action.Develop and maintain good working relationships with business, labour and professional associations, various ministry staff (particularly, the Ministry of Colleges, Universities, Research Excellence and Security), all levels of government, students, officials in other postsecondary instititutions, and other collaborators/community groups and agencies having dealings with the President.Manage confidential internal and external communications support (e.g., official correspondence with government, partners, donors, etc.) in collaboration with the communications department as needed.Support privacy, data protection, and records management practices, in line with legal requirements and college policies for both the Office of the President and the Board of Governors.Other duties as assigned.Secretary of the Board of GovernorsProvide secretariat services to the Board, including the development of agendas, scheduling of reports, policy review, minute taking, and preparation and coordination of briefing and/or research material for all Board, Executive Committee, Finance Committee, and Audit Committee meetings and follow up on decisions and recommendations.Develop and maintain the Colleges governance calendar, ensuring alignment with Board and committee schedules.Ensure compliance with policy governance and ethical standards.Ensure annual governance compliance checks (conflicts of interest, confidentiality agreements, etc.) are completed on schedule.Act as a liaison between governors and internal and external collaborators.Oversee and maintain records related to the Board of Governors including minutes, resolutions, correspondence and archives.Coordinate external governor recruitment for college appointment, and prepare submissions to the Lieutenant Governor in Council.Chair the Board of Governors Electoral Committee and coordinate internal governor elections.Coordinate governors participation in college events and plan and coordinate annual professional development and social events including transportation, accommodation and registration.Prepare, maintain and monitor the Board of Governors budget.Lead continuous improvement of governance processes.Applications will be accepted by the Organizational Development and Talent Management Department through our Career Portal at12:00 p.m., on the closing date.
