Overview The Opportunity: Reporting to the Pension Manager, the Pension Specialist is responsible for the accurate and efficient administration and compliance of the organizations pension plans. This role administers qualifying plans (Defined Benefit, Defined Contribution) and non-qualifying plans (RRSP), ensuring accuracy in participant records and providing service to employees and retirees. The Pension Specialist maintains accurate records, administers pension plans, and coordinates with third-party vendors to ensure smooth operations. The role supports audits, prepares reports, and helps participants understand and optimize their retirement benefits. It also serves as a resource for retirement planning, guiding participants through plan options. Strong analytical skills, proficiency in HR systems, and advanced Excel expertise are required, along with attention to detail and the ability to communicate complex information to diverse stakeholders. Responsibilities Manage day-to-day administration of multiple pension plans, including DB, DC, and US plans, and administer both qualifying and non-qualifying plans in Canada and the US with accurate and timely processing of contributions and related requirements. Maintain up-to-date participant records and ensure data integrity across multiple systems. Review and share pension plan transactions with key vendors, including enrollments, contributions, and terminations. Conduct regular audits to ensure data integrity and resolve discrepancies; liaise with third-party record keepers to manage plan operations. Identify opportunities to enhance efficiency and effectiveness of pension administration processes. Prepare compliance reporting for review by the manager; monitor plan operations to adhere to applicable legislation and corporate policies. Provide exceptional service to employees and retirees by answering inquiries about benefits, eligibility, and options; conduct informational sessions or create resources to educate employees on retirement benefits. Collaborate with third-party administrators, actuaries, and auditors to ensure seamless plan operations and compliance; act as primary point of contact for external vendors and ensure SLAs are met. Liaise with internal HR teams, payroll, and finance to support integrated benefit administration. Prepare detailed reports and dashboards on plan performance, participation, and other relevant data; support governance initiatives and contribute to policy and procedure development for pension governance. Participate in projects related to plan design, amendments, or system implementation; stay updated on industry trends and legislative changes to recommend plan enhancements. Qualifications Proficient in administering DB pension plans; some experience with DC plans. Expertise in Microsoft Excel (advanced formulas, data analysis) and strong proficiency in Word, PowerPoint, and Power BI. Strong analytical and critical thinking skills; attention to detail and organizational ability to manage multiple tasks and deadlines. Excellent written and verbal communication skills for participant correspondence and stakeholder interaction. Customer-focused approach and ability to explain plan details clearly; team player capable of collaborating with vendors, actuaries, and internal departments. Solid understanding of pension legislation, compliance requirements, and best practices; awareness of trends in pension and retirement planning. Fundamental understanding of actuarial principles as they apply to pension funding and benefits; familiarity with governance processes including internal audits and pension audits. Experience with HR information systems. Experience and Education A degree in a related field such as HR, Finance, Accounting, Business Administration, or Economics. Pursuing CEBS or PPAC designation(s) is a plus. Minimum 35 years administrative experience with DB plans, and 12 years with DC plans and RRSPs; understanding distinctions between plan types, including tax advantages and regulatory requirements. Experience in regulatory filings and audits; comfortable working with third-party vendors and serving as a resource for employees and retirees.
