Job Purpose Under the direction of the CEO, the Executive Assistant is accountable for ensuring a broad range of administrative services for the CEOs Office with a focus on creating effectiveness and efficiency. This position provides senior level administrative support to the CEO and the Board of Directors with considerable discretionary judgment and management of confidential issues. The Executive Assistant (EA) provides day-to-day operational administration and support for the CEOs office, including: all correspondence, requests for information, scheduled reporting, agenda preparation for various meetings, and maintaining lines of communication. Duties and Responsibilities Administration Compiles necessary materials in preparation for meetings and manages the information flow of notes and materials resulting from each meeting. Manages the CEOs contacts with various stakeholders and coordinates calendar scheduling to ensure appropriate time management. Researches, drafts, reviews, and coordinates reports, policies, communications, and presentations initiated by the CEO, ensuring they are directed towards various internal and external stakeholders. Researches and recommends initiatives that streamline processes and offer administrative efficiencies and improvements. Researches and gathers information to provide advice on emergent issues. Provides administrative support for the Open Door Society Board of Directors, tracking scheduled items, events, and deadlines to ensure necessary follow-ups. Ensures supplies and inventory of staff common areas are adequately stocked, ordering supplies when necessary. Manages and coordinates the filing and general information management systems for the CEO while defining procedures and ensuring protection and security standards. Communication and Rapport Acts as an initial point of contact for the CEOs office, anticipates potential problems, engages in field concerns, and resolves difficult situations with discretion and tact. Provides point-of-contact service for external calls and messages for the CEO, answering queries and directing stakeholders to the appropriate internal resource. Updates and maintains the organizations membership. Establishes and maintains relationships across the organization while effectively sharing information. Coordinates the implementation of the organizations communication strategy. Collaborates and fosters a positive working relationship across the organization while helping to meet the overall goals. Participates on internal and/or external committees, fostering and maintaining relationships and partnerships within the organization and with external agencies. Other duties as assigned. Education and Experience BA Degree in Administration or equivalent with a minimum of 4 years experience in office administration, assisting top-level executive or high-level professionals. Specialized training and/or experience in clerical practices and procedures, computer technology and data base management. Required Licenses and/or Certifications Criminal Occurrence Security Check Must complete a Criminal Record and Vulnerable Sector Check in good standing and within three months prior to first day of employment.
