This role is ideal for a highly organized professional who thrives in a fast-paced, public-service environment.KEY RESPONSIBILITIESOffice & Team ManagementLead and manage day-to-day operations of the constituency office.Supervise and support constituency office staff, coordinating workflow and priorities across the team.Maintain a productive, professional, and welcoming office environment.Acting as a liaison between the constituency office and the Queen's Park (Toronto) legislative office, working closely with the Chief of Staff.Manage office processes to respond to inquiries from constituents, address concerns through phone calls, emails, and in-person meetings, and liaise with government ministries and agencies to support casework and resolve constituent issues.Maintain accurate records of casework and correspondence, manage scheduling and office organization, and assist in general office operations.Budget, Finance and ComplianceIn consultation with the Chief of Staff, manage the office budget and track expenditures against allocations.Process and reconcile expenses in accordance with Legislative Assembly guidelines.Maintain accurate financial records and prepare regular budget reports.Executive and Scheduling SupportIn consultation with the Chief of Staff, manage the constituency calendar, coordinating with the legislative calendar.Prioritize and coordinate scheduling requests, resolving conflicts with sound judgment.Handle sensitive and confidential constituent information with professionalism and discretion.Community Outreach and Stakeholder RelationsAct as the lead point of contact for stakeholder relationships within the Ajax community.Engage with local stakeholders, organize public events, attend community meetings, and lead outreach initiatives to enhance engagement with residents.Stay informed on key policy issues affecting the riding and constituents, and engage with local community groups to ensure their concerns are reflected in the MPPs work.In consultation with the Chief of Staff, provide direction to staff on maintaining a strong social media presence, and over the drafting of newsletters and community updates.Administration and CorrespondenceIn consultation with the Chief of Staff, ensure compliance with all relevant HR, procurement, and office administration policies.Oversee filing systems, records management, and document retention.Triage incoming mail, email, and phone inquiries, escalating as appropriate.Prepare agendas and minutes for weekly staff meetings.Coordinate and organize office systems, e.g. order supplies and furniture.QUALIFICATIONSRequiredMinimum 35+ years of experience in office management, executive assistance, or a similar administrative leadership role.Experience in customer service and public engagement.Demonstrated experience managing budgets and financial records.Exceptional organizational skills and ability to manage multiple priorities simultaneously.Strong written and verbal communication skills.Proven ability to work with confidential information and exercise sound judgment.PreferredExperience in a government, political, or public-service environment.Experience supervising or mentoring staff.WHAT WE OFFERA meaningful role serving the residents of Ajax.A collaborative and mission-driven team environment.Comprehensive benefits package.Salary range is $60,000 to $70,000, depending on skills and experience.HOW TO APPLYPlease submit a rsum and cover letter outlining your relevant experience to the constituency office by email to In your cover letter, please speak to your experience managing office operations and working in a fast-paced environment.
