OverviewServ, a global executive recruitment partner, is hiring on behalf of our client, a growing wood products manufacturer based in Enderby, British Columbia, for a strategic Executive Assistant to support the Founder. Our client operates two sawmills in Enderby, BC with a team of approximately 50 people. They manufacture quality wood products and have built a strong reputation for consistency and reliability in a tough, competitive industry. The company is in a growth phase actively building systems, automating processes, and scaling operations. You are tech savvy and energized by digital tools, automation, and operational efficiency.Position OverviewWe are seeking a highly organized, proactive, and discreet Executive Assistant to support the Founder. This role is critical in ensuring the Founders professional and personal operations run seamlessly. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and can manage both strategic and administrative responsibilities with excellence. You will work closely with the Front Desk Coordinator, Bookkeeper, and the Founders Personal Assistant, acting as a central point of coordination across business and personal matters. This role is ideally based in or around Enderby, BC. However, we are open to a fully remote candidate who is the right strategic fit. Local operational support is already in place the priority is finding someone with the digital capability, judgment, and executive presence to operate as a true right hand to the Founder.Position ResponsibilitiesExecutive SupportManage and maintain the Founders email inbox (Outlook), including prioritization, drafting responses, and flagging urgent mattersCoordinate and optimize complex business and personal calendarsSchedule meetings, calls, travel, and appointments with precisionPrepare meeting agendas, materials, and follow-up action itemsAct as gatekeeper while maintaining strong professional relationshipsDraft polished communications in the Founders voiceAdministrative OperationsOversee daily administrative tasks to ensure operational efficiencyManage documentation, contracts, and confidential recordsAssist with reporting and document preparationCoordinate internal communications between departmentsHelp build and refine systems as the company scalesFinancial & Systems SupportWork alongside the Bookkeeper using Sage for expense tracking and financial documentation supportProcess and reconcile expensesAssist with invoice coordination and payment trackingSupport reporting and financial documentation as neededPersonal & Executive CoordinationManage personal calendar commitments and schedulingCoordinate appointments, reservations, and personal logisticsSupport special projects and ad hoc executive requestsCollaborate closely with the Founders Personal Assistant to ensure seamless coverageCross-Functional CollaborationWork closely with the Front Desk to manage guest experiences and meeting logisticsSupport internal team coordinationHelp improve administrative systems and workflows as the company growsSupport ongoing digital transformation and automation initiativesTechnology & ToolsMicrosoft Outlook (Email & Calendar Management)Microsoft Office SuiteSage (Accounting/Financial Systems)Google SuiteAsana, Notion, or similar project management toolsComfort with digital systems and workflow automation toolsQualifications5+ years supporting senior executives in fast-paced, high-growth, or high-performance environmentsProven ability to operate as a strategic partner, not just an administrative supporterMastery of organization, prioritization, and time managementOutstanding written and verbal communication skillsStrong business acumen able to distill complex information into actionable insightsHigh proficiency in Google Suite, Asana, Notion, or similar project management toolsDiscretion, judgment, and professionalism in handling sensitive informationA proactive, solution-oriented mindset with strong critical thinking skillsExperience in manufacturing, industrial operations, healthcare, wellness, or high-performance organizations is considered an assetCompensationCompensation: Competitive and commensurate with experience.LocationLocation: Enderby, British Columbia (Preferred) Open to fully remote candidates for the right strategic fit. #J-18808-Ljbffr
