Senior Administrative AssistantA Torontobased organization is seeking an experienced Senior Administrative Assistant to provide handson support with extensive meeting and travel booking with all the related logistics while being a support with various other office operations including reception coverage, and general administration. This role is best suited for someone who is highly organized, serviceoriented, and comfortable managing multiple administrative tasks while supporting events and initiatives. This is an onsite role at the office mid-town Toronto (TTC subway accessible).Location: midtown Toronto, ON, fully onsiteEmployment Type: Temporary / Contract Start: immediate, at least a month or longer, Monday to Friday, 8:30am 4:30pmCompensation: $27-30/hr plus 4% vacation pay, paid weekly Key ResponsibilitiesTravel & Accommodation AdministrationSupport travel logistics connected to meetings and events.Create hotel bookings for individuals and groupsAdjust reservations and room blocks as schedules changeEvent Logistics & CoordinationProvide handson administrative and logistical support for both internal and external events.Track guest lists, registrations, and deadlinesGather and manage attendee requirements, including dietary needsCoordinate reservations for group meals and dinnersSupport accommodation logistics, including managing room blocks and updating bookings as plans evolveOffice & FrontofHouse SupportThis role will play a key part in keeping daytoday office operations running smoothly while serving as a welcoming first point of contact.Manage reception coverage, including answering incoming calls and greeting visitorsMonitor access to the office and coordinate deliveries and guest arrivalsOversee light kitchen and hospitality upkeep, such as: Maintaining stocked fridges and common areasHandling dishwashing and general tidinessReceiving catering orders, assisting with setup, and overseeing cleanupCoordinate incoming and outgoing mail using Canada Post platformsPlace and manage catering orders for meetings and eventsShipping, Merchandise & DeliveriesAssist with preparation, organization, and coordination of branded materials.Package items and prepare shipmentsGenerate shipping documentation and liaise with courier servicesReceive, log, and organize incoming deliveriesQualificationsAt least 3+ years experience in an Administrative Assistant or Executive Assistant capacity; must have events / meeting coordination experience Strong organizational and timemanagement skills with attention to detail; this includes strong follow up and follow through skillsComfortable juggling routine administrative tasks and event logisticsProfessional, clear, friendly, and serviceoriented communication styleFlexible, willing and a can-do attitudeConfident working onsite in a fastpaced office environmentIf you are available to start immediately, meet the requirements and have a professional, flexible work ethic, please apply now.
