Our projects span fitness centers, restaurants, retail spaces, and more, all built with precision and care.Position SummaryAdministrative & Office OperationsManage calendars, scheduling, and shifting priorities for leadership and the broader team Coordinate internal and external meetings, including agenda preparation and follow-ups Prepare reports, summaries, and presentations to support business operations Oversee daily office operations, ensuring systems, organization, and workflows run efficiently Maintain and manage digital and physical filing systems with strong version control Support onboarding and coordination of new team members Act as a central hub for team support, proactively removing administrative bottlenecks Assist with invoicing, payment collection, compliance documentation, and basic financial reporting Project & Operations CoordinationSet up and maintain project files and documentation systems Provide administrative and coordination support to Project Managers, including scheduling and tracking deliverables Assist in the preparation of proposals, contracts, and project-related documentation Facilitate clear communication between office and field teams to ensure project alignment Prepare purchase orders and support procurement of project-related materials and services Assist with subcontractor onboarding, documentation, and system setup Communications & CoordinationServe as a primary point of contact for incoming inquiries and correspondence Coordinate communication between clients, subcontractors, and internal team members Schedule and organize meetings, site visits, and inspections Maintain clear, accurate, and organized records of communications and key decisions Support marketing and brand initiatives, including communications and content coordination Maintain and update a CRM-style contact database with accurate stakeholder information Assist in preparing corporate materials such as case studies and project sheets Document Control & ComplianceMaintain and organize contracts, permits, insurance certificates, and other regulatory documentation Ensure all documentation is current, accessible, and properly filed Support compliance processes and administrative requirements across projects and operations Track and manage liens, payment processes, and compliance-related documentationQualifications35+ years of experience in an administrative, office management, or project coordination role Experience supporting construction, real estate development, engineering, or related industries is strongly preferred Proven experience working in a fast-paced, multi-project environment with shifting priorities Exposure to project documentation, contracts, procurement, or invoicing processes is an asset Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Basic understanding of financial processes (invoicing, payment tracking, reporting) Highly organized with strong attention to detail and ability to manage multiple priorities Excellent communication skills, both written and verbal Strong coordination and time management abilities Proactive and solutions-oriented mindset with the ability to anticipate needs Ability to work independently while supporting a collaborative team environment
