Job Description

YOUR ROLEProvide comprehensive administrative and operational support related to driver, vehicle, and insurance compliance to ensure adherence to all applicable Canadian federal, provincial, and territorial transportation regulations, as well as internal company policies. Act as a backup resource for qualifying prospective company drivers prior to activation in accordance with National Safety Code (NSC) standards, provincial operator requirements, and company onboarding procedures. Perform additional administrative functions related to driver qualification, safety, insurance, and recordkeeping, while modeling the organizations guiding principles and core values. WHAT ARE YOU GOING TO DO?Coordinate and expedite insurance requirements to ensure compliance with Canadian transportation regulations and company policyMaintain accurate records for drivers, vehicles, leased equipment, and company assetsMonitor and report fleet counts, including drivers, units, trailers, and agentsFile, track, and manage Certificates of Insurance and related compliance documentationCommunicate with insurance providers, external agencies, vendors, and drivers on insurance and compliance mattersReview, investigate, and resolve incidents, accidents, claims, and compliance discrepanciesProcess collision and incident reports and escalate serious events to managementSupport driver safety initiatives and provide accidentprevention guidanceMaintain compliance databases, reports, and tracking toolsAssist with driver qualification and onboarding in accordance with National Safety Code and provincial requirementsMaintain driver documentation, abstracts, training records, and certification filesTrain drivers, field staff, and new employees on safety, insurance, and compliance proceduresReview and process vendor invoices; resolve billing and account discrepanciesSupport accounts payable, vendor onboarding, and contractor data entryRespond to calls, emails, and inquiries; provide administrative support as neededEnsure ongoing compliance with all applicable transportation regulations and internal policiesPerform additional administrative and compliancerelated duties as assigned WHAT ARE WE LOOKING FOR? Education and Experience:Postsecondary education in Transportation, Logistics, or Business Administration is considered an assetMinimum 5 years of experience in Transportation safety, insurance, or compliance role within transportation or logisticsStrong working knowledge of Canadian transportation regulations, including National Safety Code (NSC) standards and provincial operator requirements (e.g., CVOR or equivalent)Experience supporting driver qualification, onboarding, and compliance recordkeepingSolid understanding of commercial vehicle insurance requirements and claims/incident administrationProficiency with Microsoft Office and experience using webbased or compliance tracking systems Skills: Excellent organizational skills with the ability to manage multiple priorities and meet deadlinesStrong analytical and problemsolving skills with high attention to detailEffective written and verbal communication skills with the ability to interact professionally with drivers, vendors, and internal stakeholdersAbility to handle confidential and sensitive information with discretionSelfmotivated team player capable of working independently while following established policies and procedures WHAT DO WE HAVE TO OFFER?
