We are looking for a highly organized and motivated HR Coordinator to provide administrative and coordination support across all HR functions. Reporting to the Senior Manager of HR, this role supports the day-to-day delivery of HR services, including recruitment, onboarding, employee records management, training administration, and compliance. The HR Coordinator ensures accurate record keeping, supports employee lifecycle administration, and helps maintain key HR systems and processes. This role also contributes to process improvements and supports HR projects, ensuring efficient and consistent HR operations across the organization. Duties and Responsibilities: Provide day-to-day HR support across all HR functions, including recruitment, onboarding, offboarding, training, records management, compliance, employee relations matters and HR administration. Assist with full-cycle recruitment, including job postings, pre-screening, interview scheduling, candidate selection, reference checks and onboarding activities, ensuring proper documentation is maintained. Assist with drafting employment contracts for program staff and coordinate execution through DocuSign. Support onboarding coordination for new hires, ensuring completion of required documentation. Ensure employee training is completed and maintain user profiles in the Learning Management System. Assist with updating training content to reflect legislative requirements. Maintain and track Police Record Check (PRC), TDSB clearance records and annual offence declaration, ensuring all staff meet required compliance standards. Track employee training hours and related police record reimbursements and submit to payroll for processing. Monitor employee work permit status, follow up on renewals or extensions. Support HR data tracking and reporting by maintaining accurate data in HRIS and generating insights to inform decision-making. Maintain and update organizational charts and job descriptions to reflect current roles and responsibilities. Maintain the HR Hub to ensure information is current and accessible. Maintain health and safety records and documentation, provide admin support for incident reporting, and assist with health and safety initiatives. Identify opportunities to improve HR administrative processes and tracking systems. Assist with HR projects and other relevant duties as assigned. Education, Experience, Skills and Requirements Min. 23 years of experience in an HR coordination or administrative role Post-secondary education in Human Resources or a related field Equivalent combination of education and experience will be considered CHRP designation or working towards it is preferred Proficient in MS Office 365 (Word, Excel, Outlook, PowerPoint and SharePoint) Strong written and verbal communication skills Highly organized with strong attention to detail Ability to handle confidential and sensitive information with discretion Ability to manage multiple tasks and meet deadlines Strong judgment and ability to work independently Experience in a not-for-profit environment is an asset Occasional travelling to programs, off-site meetings and events is required Please note that as a condition of employment, the successful applicant must complete a Criminal Record Check with Judicial Matters.
