The Business Services Coordinator provides skilled administrative support, contributing to the overall effectiveness of the management team and will relieve managers of daily and longerterm administrative workload activities, through the handling of action items, and the performance of assigned tasks. You will greet and assist customers (visitors, customers, colleagues) in facetoface interactions or by telephone, serving as the first point of contact to provide exceptional customer experiences. What youll do with Our Training and Your Experience Acts as the first point of contact in answering incoming calls, screening calls where necessary and routes to appropriate colleagues. Relays all messages in a prompt and professional manner. Greets all visitors to Convergint in a professional and courteous manner and ensures they have prepared visitor badges prior to any scheduled visitor arrivals. Ensures that all customer experiences on Convergints premises are positive. Training of expense completion with current colleagues, supervisors and new colleagues joining Convergint. Point of contact to review, correct and elevate colleague expenses, submit and liaise with finance toward accurate and timely processing. Provide administrative support as required including, but not limited to: uniform inventory and distribution, assist technicians with expenses, order stationary and office supplies, pick up mail. Draw purchase orders when required and scan packing slips to the purchasing team for processing in a timely manner. Scan, email and/or mail incoming cheques from customers to accounts receivable. Print & email monthly invoices for vendors to accounts payable team. Assist Human Resources with onboarding new hires by ensuring laptops and cell phones are set up prior to the new colleagues start day. Organize location events in conjunction with the locations management team including Convergint Day, inoffice celebrations and events, major meetings, safety meetings and AGMs. Keep up to date and informed on all company policies. Coordination of facility management to include janitorial services, snow removal, lawn maintenance, plumbing, electrical and HVAC. Must be willing to take responsibility for warehouse duties when required. Present a professional image of Convergint at all times in appearance and behavior. Act as our customers best service provider at all times thereby ensuring Convergint is the customers first choice for service. What Youll Need Ability to lift 30lbs using proper lifting techniques at all times. Strong computer skills including Word, Excel, PowerPoint and Outlook and Internet research skills. Strong organizational and time management skills with a high regard for attention to detail. Must be a selfstarter and work well with limited supervision. Strong verbal, written and interpersonal communication skills. Good financial knowledge and skillsability to understand basic financials such as accounts receivable/payable, purchase orders, work orders, etc. Strong ability to adapt to changes related to work processes, department structure, environment and technology. Good ability to demonstrate independence, resourcefulness and tenacity. Requirements Certificate or diploma in business administration (or related experience). Must have obtained Government of Canada clearance OR must be eligible for clearance upon hire. Minimum of one year experience in service and administration within a business environment is required. Previous experience working in a warehouse environment &/or construction experience is considered an asset.
