The Opportunity Position Description & Qualifications The Executive Assistant will provide direct support to the Program Director, Employment Services, and the Project Management Office in Alberta. Position Summary The Executive Assistant delivers comprehensive administrative and operational support to Program Leadership, ensuring seamless coordination and effective communication across the organization. This position acts as a key liaison for leadership activities, managing schedules, facilitating information flow, and enabling leaders to concentrate on strategic priorities. Based in Alberta, the role fosters organizational efficiency, anticipates needs, and strengthens alignment through structured processes and proactive support. Responsibilities Include But Are Not Limited To Overseeing calendar management, meeting scheduling, and coordination for Program Leadership. Preparing meeting agendas, recording minutes, and monitoring followup actions. Drafting internal communications, including emails, announcements, and briefing materials. Organizing logistics for events, training sessions, and team engagements. Maintaining accurate filing systems and managing documentation effectively. Assisting with reporting by compiling data, formatting documents, and creating summaries. Tracking deadlines and ensuring leadership is equipped with necessary resources. Serving as a professional point of contact for internal and external stakeholders. Coordinating travel arrangements, expense reporting, and procurement activities. Identifying opportunities to streamline administrative workflows and improve efficiency. To Be Successful In This Role, You Will Have Diploma or degree in Business Administration or related discipline preferred; equivalent experience considered. Minimum 5 years experience in administrative roles, with at least 2 years supporting senior leadership. Outstanding organizational and timemanagement capabilities. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite and related business tools. Ability to manage competing priorities in a dynamic environment. High level of discretion and professionalism when handling sensitive information. Familiarity with CRM systems and government database platforms. Experience in project coordination or event planning. Knowledge of expense tracking and procurement processes.
