For additional information about the firm or this position, please visit our website at Position Client Data Coordinator (Finance Department) Canada Job Summary Reporting to the Supervisor, Client Data, the Client Data Coordinator will collect and review client and matter information from the legal team during or after the intake process while retaining data integrity and security of client, matter, and PTA group financial data in the Firm ERP system. The Client Data Coordinator collaborates with the Firms Finance team to ensure high-quality client/matter financial data, contribute to the docket-to-pocket cycle and client reporting, and provide support to the legal team during onboarding of new clients and matters, maintaining effective reference materials for financial fields in the Firm intake form. Work Environment As part of the Firm-wide Finance team, this role can be located in any Canadian city where Fasken has offices (Toronto, Ottawa, Montreal, Quebec City, Calgary, Tsuutina Nations, Vancouver, Surrey). This role is hybrid with occasional onsite requirements. The successful candidate must live in or around their regional office and be able to commute to the office as needed. Hours of work are from 8:00 a.m. to 4:00 p.m. Occasional pre-authorized overtime may be required to meet business needs. Primary Responsibilities Maintain matter records in the financial system, ensuring completeness, accuracy, and timeliness of client and matter information. Collaborate with the legal team and respond to service tickets to onboard new clients/matters while ensuring the integrity of financial data for billing, collection and client reporting. Work with billing, e-billing, collection, data governance and Firmwide Finance teams to ensure accurate processes and address discrepancies. Assist lawyers and legal assistants in adhering to billing guidelines and client-specific requirements. Regularly review and audit client and matter data to identify discrepancies and ensure data integrity and compliance with internal policies and regulatory requirements during and after intake. Maintain documentation of matter maintenance processes, guidelines, procedures, and best practices for consistency and knowledge sharing. Identify opportunities to improve client/matter data collection processes and contribute to system enhancements for efficiency and accuracy. Support Firm initiatives involving client/matter financial data, including new system validation, implementation, support and end-user training. Adhere to legal and ethical standards, including confidentiality, in handling sensitive client financial data. Generate standard and ad-hoc client financial and non-financial reports, including detailed reporting on client volume rebates and investigate anomalies to support financial analysis and decision-making. Manage client grouping in 3E, investigate corporate relationships, update group records, and support weekly compliance reviews for effective data management. Create, update and maintain PTA group records in the financial system, including establishing new PTA groups and updating existing information for accuracy and compliance with data governance standards. Monitor client credit worthiness using Dun & Bradstreet metrics during intake and flag potential credit risks. Additional assignments or projects as required. Required Knowledge And Experience A certificate in business administration, accounting, finance or related field is an asset; an equivalent combination of education, lived experience, and professional expertise will be considered. Minimum of two (2) years of experience in client onboarding and financial data analysis in a legal firm. Experience with large ERP systems is required. Project management experience is an asset. General knowledge of accounting, professional services billing, e-billing and task-code billing functions is an asset. Proficiency with MS Office (Word, Excel and Outlook). Familiarity with Power BI and legal billing software is an asset. Reporting Structure This role reports to the Supervisor, Client Data.
