API is looking for an enthusiastic, professional, selfstarting and independent Executive Office Coordinator who can handle a vast and varied range of tasks. This position requires fulltime onsite presence. Key Responsibilities Front Desk and Visitor Services Serve as the first point of contact for visitors, ensuring a welcoming and professional office environment. Answer and direct telephone and email inquiries. Greet, coordinate, and direct service providers contracted to support the office. Office Operations Maintain office amenities, including the cappuccino bar, selfserve food station, kitchen, and common areas. Manage incoming and outgoing mail, courier packages, and deliveries. Oversee the care and maintenance of office plants. Liaise with building operations staff to submit and track maintenance requests. Meetings, Events & Hospitality Work independently and with the Program Activation team (where applicable) to assist with the setup, coordination, execution, and breakdown of meetings and events, including occasional work outside regular business hours. Manage meeting room bookings, Joan devices, and provide basic support for meeting room technology. Tenant & Subtenant Relations Coordinate and prepare office and cubicle spaces for new team members. Act as the primary point of contact for subtenants and coordinate shared office/cubicle space. Administration & General Support Provide administrative support to the Manager, Executive Office. Complete other assorted tasks and errands as assigned. Perform a variety of general administrative duties as required. Provide general administrative support to the HSE department. Qualifications Education High School Diploma is required. Completion of a postsecondary education is an asset. Experience Minimum 23 years experience working in the service industry or as an administrative assistant. Hospitality, event planning, tour hosting, or service roles (e.g., hotel concierge, server, hostess) are considered an asset. Personal Competencies Proficiency in Microsoft Office and Adobe is required. Excellent communication, organizational, interpersonal, timemanagement and problemsolving skills. High level of emotional intelligence and solution oriented. Ability to work well independently and within a team environment. Working Conditions Required travel between Edmonton API sites. This position requires you to be on site. Valid Class 5 Drivers License is preferred.
