About the job Kent is looking for a Site Administrator to support the Kearl Project in Fort McKay, Alberta. This role is responsible for managing site-based administrative functions and payroll coordination to ensure accurate workforce records, timely payroll processing, and compliance with project and client requirements. The position plays a critical role in supporting site operations, workforce logistics, and reporting. Skills and responsibilities Responsibilities Payroll Coordination Collect, verify, and process timesheets for site personnel in alignment with project schedules and rotation cycles (14/7, 14/14). Ensure accurate coding of hours, overtime, allowances, and project-specific pay rules. Coordinate with HR and Payroll teams to ensure timely submission and issue resolution. Maintain payroll records in compliance with company and client requirements. Site Administration Manage onboarding documentation including orientation records, certifications, and site access requirements. Maintain personnel records, training matrices, and site tracking logs. Coordinate travel logistics, camp accommodations, and rotation scheduling. Provide administrative support to site leadership and department teams. Reporting & Documentation Generate weekly workforce reports including headcount, rotation tracking, and payroll summaries. Maintain accurate filing systems for project documentation (digital and physical). Support audit readiness for payroll and workforce compliance. Interface & Coordination Liaise with HR, Payroll, Project Controls, and Site Management teams. Support workforce planning and mobilization activities. Assist with resolving employee inquiries related to payroll, rotations, and site logistics. Your knowledge/skills, education, and experience Knowledge / Qualification / Training / Certification Diploma or certificate in Business Administration, Accounting, or related field preferred. 5+ years of experience in site administration and/or payroll coordination in industrial or construction environments, with a preference for candidates with FIFO project experience. Strong knowledge of payroll systems, timekeeping processes, and workforce coordination. Proficiency in MS Office (Excel, Word, Outlook). Experience with workforce tracking systems and site logistics coordination. Communication Strong written and verbal communication skills. Ability to work with cross-functional teams in a fast-paced site environment. Behavior/Core Competencies High attention to detail and accuracy. Strong organizational and multitasking abilities.
