Summary Of Duties Reporting to the Supervisor, Service Centres, the Municipal Service Centre Representative provides information and advice to customers for a range of City services, programs, and regulations, including property taxes, animal licences, administrative penalties, provincial offences & parking fines, marriage licenses, Transit, Waste Management, and licensing and permit fees. The representative processes payments through a pointofsale system and various programarea software, and handles applications received via multiple service channels. Responsibilities Provides information and customer service using telephone, email, fax, and inperson communication regarding City services and policies. Monitors and follows up on customer inquiries, prioritizing them to ensure satisfaction. Participates in problem resolution and escalates to senior staff or program areas as needed. Responds to requests for information regarding City operations and procedures. Performs cashier functions: records payments in Point of Sale and programarea software, prints system reports, balances daily receipts, and reconciles with database. Receives, verifies, reconciles, and secures floats and deposits; prepares and delivers deposits to the armored transportation provider. Monitors and reports on errors, notifying staff for corrections, overages, or shortages. Acts as Deputy Issuer of Marriage Licences on behalf of the Province of Ontario, verifying documentation and issuing licences. Processes applications for services such as preauthorized debit payment plans for municipal property taxes. Opens and closes Municipal Service Centres, reporting security concerns and maintenance deficiencies. Maintains inventories of operational supplies and forms/tickets/permits/licences, including Transit PRESTO cards and Marriage Licences. Prepares monthly and yearly inventory reports for leadership. Wordprocesses correspondence and legal documents; creates forms and spreadsheets. Provides customer instructions and examines documents to determine authenticity and validity. Reviews supporting documents to ensure compliance with rules and procedures, forwarding appropriate documentation to service areas. Distributes incoming mail and processes outgoing mail, including Registered Mail and Courier. Maintains knowledge of City services, departmental structures, and Provincial services; reports trends or changes in service requests. Assists the supervisor with onboarding new employees and provides training on procedures, policies, bylaws, and regulations. Attends regular training sessions to remain current with operational practices and technologies. Maintains and compiles customer service statistics; records inquiries and responses in the CRM system. Works in accordance with Health and Safety legislation and City policies. Performs other duties as assigned directly related to major responsibilities. Qualifications Demonstrated experience in a customer service environment serving a diverse, multicultural, multilingual public. Excellent interpersonal and conflict resolution skills with tact and professionalism. Understanding of business accounting concepts; ability to work with figures and balance cash transactions. Previous cash handling or municipal tax experience required. Experience in a computerized environment, including data input and proficiency with Windows applications (Windows 10, Word, Excel, Outlook), PointofSale software, and customer relationship management software (asset). Ability to conduct Internet and Intranet searches promptly. Excellent verbal and written communication skills to clarify City procedures and policies to the public. Demonstrated understanding of the services and responsibilities of all levels of government. Ability to work independently and as part of a team with strong timemanagement and organizational skills; flexibility for overtime and rotating shifts. Must obtain and maintain current certification in Standard First Aid with CPR Level C within three months upon hire at own expense. The successful candidate must be available Monday Friday 8:30am 4:30pm at all Municipal Service Centre locations. This is not a stayathome position; the candidate must report to a Municipal Service Centre to complete work. NOTE 1 As a condition of employment, the successful applicant will be required to obtain a Criminal Record & Judicial Matter (CRJM) Check at own expense prior to beginning the position.
