Job Summary The Jr. PM supports the successful execution of mechanical and HVAC retrofit projects by assisting Project Managers and site teams with scheduling, documentation, procurement, cost tracking, and communication. This role focuses on coordination, administration, and operational support rather than full project ownership. The Jr. PM plays a key role in ensuring smooth workflow between internal teams, subcontractors, suppliers, and clients while maintaining GDI Ainsworths high standards of safety, quality, and professionalism. Key Responsibilities Support Project Managers with startup documentation, permits, work orders, and organized project files. Set up projects in JDE, including cost codes, budgets, and schedules, and tracked deliverables and deadlines. Coordinate meetings, site visits, and project activities; prepared accurate meeting minutes and updated schedules. Communicate with vendors and subcontractors regarding timelines, deliveries, and required documentation. Prepare purchase orders, gathered quotes, and assisted with procurement of materials, equipment, and subcontracted services. Track deliveries, maintain procurement logs, and support submittals, RFIs, shop drawings, and document submissions. Assist with forecasting, budget updates, cost code setup, financial reporting, and change order tracking. Maintain Health & Safety documentation, site safety boards, and support quality control processes. Assist with project closeout, including O&M manuals, warranties, deficiency lists, and final documentation. Perform additional administrative and coordination tasks to support overall project execution. Qualifications A minimum of two (2) years of experience as a Project Coordinator with a track record of successfully completing Mechanical and HVAC retrofit bid/spec and design build projects in the commercial marketplace. Project experience should include hot water boiler systems, chiller water systems, piping reconstruction projects and HVAC Retrofit and ductwork projects. Proficiency with Microsoft Word, Excel and Project. Experience in project setup, execution and regular financial reporting and project close out. Experience with JDE or similar ERP systems is an asset. Ability to work in a fast-paced project environment with shifting priorities.
