Title: Office Administrator Location: Greater Toronto AreaSector: Water & WastewaterSalary Range: 65K-80K (depending on experience)The Office Administrator provides centralized administrative and coordination support to ensure efficient office operations. The role supports leadership and staff through managing correspondence, schedules, records, and documentation; coordinating meetings and office logistics; processing routine financial and clerical tasks (including invoicing, time sheets, expenses, and vendor-related items); and maintaining office resources, procurement, and systems. The position also supports HR and head office compliance activities, including maintaining health and safety records and tracking training and certifications, while contributing to overall workflow efficiency and organizational effectiveness. Some of the Office Administrator responsibilities include but are not limited to:GENERAL ADMINISTRATIVE & OPERATONS SUPPORTGreet visitors and manage front desk reception.Handle incoming calls and mail.Maintain Emergency Contact, Employee, Email Distribution and Project Lists.Manage courier shipments and logistics.Manage and procure office supplies and equipment.Provide executive assistant services to VP Project Delivery.Assist VP Project Delivery with calendar and schedule management, including reminders for important events, staff birthdays and work anniversaries.Assist with ordering promotional items and company swags and maintain appropriate inventory levels. Coordinate the maintenance and repairs of office equipment, appliances and building.Coordinate the delivery and installation of IT equipment and accessories. HR SUPPORTAssist with obtaining new employee onboarding documentation.Assist with new employee onboarding at the district level. Assist with obtain employee drivers records and drivers license for automobile insurance policy renewals.Assist in coordinating staff training, learning opportunities, and reading initiatives. Track participation and progress.Generate and execute budget-conscious creative ideas to enhance the workspace and Company culture.Receive staff vacation requests, obtain approvals and send them to Payroll for processing.ACCOUNTING SUPPORT Prepare credit card and expense reports and obtain approval prior to submitting to Accounts Payable for processing.Receive time sheets from project sites, redirect to proper approving authority and send approved time sheets to Payroll for processing.File packing slips and approved time sheets from various jobsites to the Project file.HEALTH & SAFETY SUPPORTProvide general safety orientation to all new hiresCause to perform fire drills at the district office at set intervals. Procure general safety supplies and equipment.Maintain employee safety training records and track expiry datesCoordinate the scheduling of safety trainingAssist in maintaining safety records and statistics.
