Job Description

Position Overview: The Front Desk Associate serves as the main point of contact at our head office, ensuring a welcoming, polished, and efficient workplace experience. This role combines reception duties with handson office support, helping maintain smooth daily operations, meeting readiness, and overall workplace functionality. While the front desk is staffed during business hours, this position also moves throughout the office to complete tasks and remain responsive.ResponsibilitiesAct as the primary contact for all visitors, candidates, vendors, and guests.Manage visitor checkin and frontofhouse security procedures.Handle incoming calls and general inquiries, routing them as needed.Monitor email inboxes and respond or redirect as required.Keep reception, meeting rooms, and shared spaces clean, organized, and presentable.Sort and distribute mail, courier items, and packages for the head office.Coordinate outgoing deliveries and related logistics.Support meeting room preparation, including refreshments, resets, and basic setup.Assist with simple AV needs and escalate more complex issues.Conduct regular walkthroughs to ensure spaces are tidy, stocked, and guestready.Assist with light facilities tasks such as moving small items, resetting rooms, and event setup.Order office supplies as needed.Report maintenance or service issues to the appropriate team member.Provide dayof support for internal meetings, office initiatives, and small events.Help with vendor coordination, catering arrangements, and venue research when assigned.Qualifications24 years of experience in reception, hospitality, office services, or customer service.Strong professional presence and a customerfocused approach.Excellent communication and organizational abilities.Proficiency with Microsoft Office.Ability to move throughout the office and perform light physical tasks.Bilingual English/French considered an asset.
