Administrative Assistant1 month contract potential for extensionTORONTO- ONSITE$20-23 Hourly Provides daily administrative and function-specific support to the Manager or DirectorEnsures timely and consistent execution of tasks to support departmental goalsPlays a key role in maintaining smooth office operations and communicationHandles photocopying, faxing, mail distribution, and courier coordinationMaintains office supplies and monitors inventory levelsResponds to inquiries and coordinates with internal and external contactsCreates, formats, and distributes business documents and spreadsheetsMaintains organized systems for documentation and reportingUpdates websites and virtual portals as neededConducts data searches and organizes information for easy accessPrepares PowerPoint presentations and marketing materialsMaintains mailing and distribution listsManages document archiving and retrievalInputs and maintains data in company systems and platformsEnsures data accuracy and compliance with policiesMaintains tracking systems for departmental activitiesCodes invoices and prepares purchase ordersCoordinates with Accounts Payable for timely processingManages petty cash and reconciles impress accounts if applicableHandles bank deposits and prepares expense reportsSchedules meetings and appointmentsArranges travel and accommodationsOrganizes events and internal functionsEnsures effective communication and coordination across teamsHigh school diploma or equivalent (post-secondary education preferred)Minimum of 2 years of administrative or office support experienceProficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Strong organizational and time management skillsExcellent written and verbal communicationHigh attention to detail and ability to handle confidential information Skills, Knowledge, Experience and Education Excellent command of the English language with particular attention to grammar and spelling Intermediate to advanced practical knowledge of MS Office Applications Solid knowledge of Adobe Acrobat.
