Director of Finance & Administration Extend-A-Family Waterloo Region (EAFWR) Role Reporting to the Executive Director (ED), the Director of Finance & Administration manages the financial operations of the organization, and supports the development and execution of strategic and operational plans. The Director of Finance will use their understanding of the organization's financial position to establish and enhance business practices supporting all operational functions. As a member of the Senior Leadership Team, the DoF&A will play a key role with staff in shaping, communicating and implementing EAFWRs vision. Qualifications - Active and ongoing Canadian CPA designation with relevant experience in a professional services role required - 3+ years related experience involving financial accounting and oversight - 2+ years experience in a managerial or leadership role - Comprehensive knowledge of generally accepted accounting principles, practices, analysis, budgeting and reporting - Experience with electronic accounting and payroll systems. Knowledge of ADP, Sage Intacct preferred - Working knowledge of relevant federal, provincial and municipal legislation pertaining to the Developmental Services sector and financial management of a charity - A high degree of computer literacy including proficiency with Microsoft products, cloudbased systems and ERP accounting software (Sage Intacct), casemanagement software (EMHware) including various communications applications - Ability to work well under pressure with time sensitive deliverables - Working knowledge of organizational/strategic planning an asset - Provision of a satisfactory police check Core Competencies Display Influencing level competency in the required skills and competencies, which is defined as indepth understanding and utilization of the Competency as a driver of change within organizations and community. Support to Executive Director - Participate as a vital member of the leadership team, working in close partnership with the Executive Director and Directors to provide input on major strategic and tactical decisions for the organization - Accountable to the Board for major exceptions not communicated by Executive Director - Participation on Board Committee meetings as delegated - Provide the Executive Director, Board of Directors and Leadership Team with timely and accurate information, as required - Being the primary contact for the Financial Consultant, insurance providers, other finance professionals, and a key contact for regulatory bodies - Inform the Executive Director of any noncompliance with financial, IT, Privacy, donor engagement policies or procedures - Document, communicate and take action in response to any suspected financial abuse or concerns related to charitable status and donor relations - Promoting growth of an organizational culture that is both inclusive and antioppressive - Perform other related duties as assigned by the Executive Director Financial Management - Provide leadership, guidance, growth opportunities, supervision and support to the Finance Team while promoting accountability, collaboration, equity, inclusion, and continuous improvement - Responsible for the financial processes and accounting functions of the organization, including accounts payable, accounts receivable, payroll, bank reconciliation and financial reporting - Maintain and strengthen internal controls, financial policies, risk management practices, and financial signing authorities - Prepare and report on the annual organizational budget in conjunction with the Executive Director - Oversee accounts payable, including bill payments, reimbursement of FamilyHome providers and approved payments for families receiving services - Prepare monthly financial reports and analysis for the Executive Director, Board of Directors and key management personnel, including multiyear reviews and forecasting of revenue and expenses to year end - Coordinate preparation and submission of financial reports and reconciliations forms for the Ontario Ministry of Children, Community and Social Services and any other government body as required - Ensure financial books of the organization are managed according to GAAP - Provide financial data generated on a monthly, quarterly and annual basis, monitoring against the approved budget and making recommendations to the Executive Director and management team - Monitor and provide feedback on approved operating budgets and make recommendations to the appropriate Director or Manager - Prepare files for audit and serve as the agency liaison between EAFWR and the Auditor - Procurement and management/review of large contracts - Support filing a charity return to CRA and compliance with charity legislation (donations and receipting) Administration and Organizational Accountability - In collaboration with the Director of Services and their teams, guiding the administrative and financial processes critical for service delivery - Ensure compliance with Legislation, funding agreements, statutory remittances, audit requirements, and notforprofit accounting standards - Monitor ministry funding, grants, restricted funds, contracts, and financial risks affecting service delivery, staffing, and sustainability - Ensure the ongoing integrity of EAFWRs financial systems and financial reporting to Ministry of Children and Community Social Services (MCCSS) - Follow policies and procedures; completing administrative tasks correctly and on time as required by MCCSS guidelines and other legislative bodies - Ensure maintenance of the agencys accreditation status - Perform the role of Privacy Officer - Active engagement in risk assessment and support development of mitigation strategies - Participate in succession and contingency planning for systems and personnel Professional Development - Complete regular performance evaluations and review frequently with supervised staff - Complete annual selfevaluation and review with the Executive Director regularly - Seek out and attend professional development opportunities to be further equipped for the role to enhance overall leadership & management knowledge and/or performance Attend Meetings - Staff meetings - Board & Board Committee Meetings, as delegated - Leadership and Team meetings - Other meetings as requested/required Posting will close on May 7th, 2026.
