What you will be doing: Answer and respond to communications (phone calls, e-mails, etc.) from internal and external sources Co-ordinate the flow of internal information Prepare, edit, proofread and maintain records, correspondence, presentations, etc Maintain information filing systems, Sharepoint Take minutes and prepare for distribution to all involved Process citizens travel request forms, special request form, etc and update tracking systems Update regional website and oversee Community Council websites with web designer Submit volunteer expenses into DataBasics and update tracking systems Develop survey and information gathering in regards to citizens need Contribute to the development and review of work plans in regards to citizens involvement. Provide logistic and administrative assistance with scheduling and organizing MNO Community Council and Regional cultural events and gatherings Provide support for community information gathering activities Provide administrative, logistical and research support as required for Region 5 Community planning and activities Produce briefing notes and other reports as required Maintain a high-level of confidentiality Reports to the Regional Manager with day-to-day activity Tracking and planning to a projects budget is required, so a demonstrated basic financial acumen, including the ability to read and utilize Excel and other financial tracking tools to track expenses and manage project budgets will be required. Plan, administer and control budgets for projects, contracts, equipment and supplies. Manage and mitigate risk with respect to program delivery, quality, participants, and budgets. Research and prepare detailed and accurate reports, briefing notes and presentations. Attend meetings in person and/or virtual, inside and outside of regular business hours, where required by the South West Region Leadership and/or the Self Government Branch. Develop communication tools to enhance understanding of issues. Assist with development, implementation and growth of new initiatives, as needed. Deal with complex, confidential, and sensitive issues in a timely manner, with tact, discretion, maturity and judgement. Reports to the Regional Implementation Lead with day-to-day activity directed by the Region''s Regional Councilor and approved by the Regional Implementation Lead. Promotes the values of the organization within the workplace and in the community by demonstrating positive and professional relationships with others (employees, citizens, council, volunteers, advocates, etc.). Reports all unsafe conditions, hazards or practices, accidents and incidents in accordance with the Occupational Health and Safety Act and adheres to all Health and Safety requirements within the MNOs policies and procedures and provincial legislation. Performs other job/branch-related duties as required. Qualifications: University Degree in a related field or equivalent combination of education and experience. 3 to 5 years of experience in a similar/comparable role or demonstrated potential to fulfill the role Experience dealing with industry and/or government partners/stakeholders Successful experience in grant writing Experience in the creation of business plans Ability to work independently Experience in conflict management; Experience designing and implementing project work plans Strong desire to act in the service of the Mtis Citizens, to advance and uphold rights and culture Relevant background in Mtis-focused community activities, recreation and educational programs Knowledge of Mtis focused and broader Indigenous programs and services Well-developed administrative, organizational and communication skills in order to meet deadlines Proficiency with computer programs and written communication skills Advanced communications skills Demonstrated ability to quickly acquire and expand knowledge and to be flexible in a demanding and dynamic environment Demonstrated ability to effectively maintain financial records, manage project budgets Superior organization skills and time/priority-management Ability to work alone/independently with minimal supervision Flexible work schedule with ability to work extended hours or week-ends as necessary Willingness and ability to travel AODA Statement The Mtis Nation of Ontario commits to providing accommodation as required by the Ontario Human Rights Act, unless to do so would cause undue hardship.
