The Institute for Work & Health is an independent, not-for-profit research organization. Our mission is to conduct and mobilize research that supports policymakers, employers and workers in creating healthy, safe and inclusive work environments. The Institute provides practical and relevant findings and evidence-based products on the inter-relationships between work and health from worker, workplace and systems perspectives.The Institute is currently seeking a qualified person to fill the new position of Operations Coordinator 4DY Initiative. This role is currently a one year contract.Position SummaryReporting to the National Manager of the 4DY Initiative, the Operations Coordinator is responsible for supporting the operational, financial, and administrative functions. This role helps ensure the efficient coordination of the National Office by supporting project timelines, operational planning, financial administration, reporting requirements, and internal team coordination. The Operations Coordinator plays a central role in maintaining the initiatives operational infrastructure, supporting research administration activities, coordinating internal meetings, and assisting with budget tracking and financial processes. The position requires strong attention to detail, excellent organizational and time-management skills, and the ability to manage multiple priorities in a collaborative environment.Duties & ResponsibilitiesOperational CoordinationProvide day-to-day operational and administrative support to the National Manager and National Office.Assist in coordinating project timelines, milestones, and annual activity cycles across the 4DY Initiative.Maintain operational documentation and tracking tools to support project planning and delivery.Financial AdministrationSupport the management and monitoring of 4DY Initiative budgets.Assist with bookkeeping processes, accounts payable, and expense tracking.Maintain financial documentation and assist with reconciliation and reporting processes.Meeting and Team CoordinationCoordinate internal meetings and operational working groups.Prepare meeting materials including agendas, calendar invitations, and virtual meeting links.Record meeting notes, track action items, and support follow-up activities.Reporting and ComplianceAssist with the preparation and coordination of reports for funders and stakeholders.Support the collection and organization of information required for reporting and evaluation activities.Maintain records and documentation related to the 4DY Initiative deliverables.Event and Logistics CoordinationProvide logistical support for internal meetings and planning sessions.Coordinate administrative arrangements to support team participation in external events such as conferences, workshops, and webinars.Other DutiesPerform additional operational and administrative tasks as required to support the goals of the 4DY Initiative.Education & ExperienceBachelors degree in a relevant discipline or a minimum of 2 years of work experience in a similar position. A Masters degree preferred.Experience coordinating complex projects, conferences, programs, or multi-stakeholder initiatives.Strong organizational skills and ability to manage multiple priorities simultaneously.Experience coordinating meetings (in person & online), including agenda preparation, scheduling, meeting logistics, documentation, and follow-up.Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).Experience using digital collaboration (Dropbox) and meeting platforms such as Zoom or Microsoft Teams.Experience with financial administration, bookkeeping, or accounts payable processes.Experience working in a research or academic environment.Experience supporting initiatives serving persons with disabilities.Knowledge of disability studies, accessibility standards, or work and disability policy.Proficiency in French (written/spoken) is an asset.Compensation packageStarting salary will depend on qualifications and experience and will be in the range of $58,000.00 to $68,000.00, plus group benefits, pension eligibility, and four weeks' annual vacation.
