The Data Governance Specialist is accountable for establishing and sustaining an enterprise data governance program that ensures the accuracy, completeness, consistency, and integrity of ARMA data. The role provides leadership in governing and organizing data assets, setting clear policies and standards, supporting data catalogues, and ensuring compliance with data privacy, access, retention and other regulatory requirements. By collaborating with ARMA staff and guiding a data stewardship working group, the Data Governance Specialist strengthens data quality, reduces organizational risk, and enables confident, data-driven decision-making across ARMA.Duties:Establish, document, and maintain the enterprise data governance framework, including policies, standards, and processes for data quality, usage, classification, privacy, retention, and regulatory compliance.Define and promote enterprise data standards, including naming conventions, metadata standards, and classification rules, across data platforms and systems.Develop and maintain metadata assets such as business glossaries and data catalogues to improve data understanding and use.Collaborate closely with business teams to promote high-quality, well-understood, and accessible shared data.Lead a data stewardship working group to drive consistent data definitions, business rules, and governance practices across business areas.Build organizational capability through training, guidance, and hands-on support related to data governance roles, standards, and practices.Provide governance input into system, platform, and data model design, and work with IT to embed governance requirements into enterprise systems.Manage data classification and lifecycle practices, including retention, access controls, privacy compliance, and reduction of redundant, obsolete, or trivial (ROT) data.Conduct data governance and data quality assessments on key systems and datasets to ensure ongoing compliance with governance, privacy, and retention requirements.Assist ARMA in meeting its obligations related to information access requests and privacy requests under applicable legislation (e.g., Access to Information Act (ATIA) and Protection of Privacy Act (POPA)).Key Performance IndicatorsPolicy Compliance Rate: ARMA data and systems adhere to data governance policies, in particular the 'Access, Privacy, and Records Management Policy'.Data Catalog Coverage: Critical data assets documented in the data catalogue and labelled with metadata.Data Governance Training Completion: ARMA employees are trained in ARMA data governance policies and best practices.Data Quality: Reduction in errors, duplicates or inconsistencies over time or against target benchmark.EDUCATION & EXPERIENCEBachelor's degree in Information Management, Library and Information Science, Public Administration, Business or a related field.3+ years of experience in data governance, data management, or compliance roles.Knowledge of relevant data privacy regulations (e.g., POPA) and compliance frameworks.Experience using records management, governance, and data catalog tools (e.g., SharePoint Online, MS Purview, Collibra, EDC, Alation) and metadata management.Experience using business intelligence tools (e.g., Tableau, Power Bl, Salesforce)Familiarity with DAMA-DMBOK and ISO 15489 and 30300 standardsExperience with data warehousing and SQL, an assetCertified Data Management Professional from DAMA International, an assetStrong analytical, communication, and documentation skills.All employees are subject to pre-employment Background Check and employment is contingent upon successful clearance results.
