Job Title: Governance and Operations Specialist (Full-Time, Term Position 10 Months)Location: Hybrid (Techsploration Office, 800A-6 Windmill Rd., and Remote)Start Date: May 25, 2026End Date: March 31, 2027About TechsplorationTechsploration is a Nova Scotia-based not-for-profit organization that empowers young women and gender-diverse youth (Grades 912) to explore careers in science, engineering, technology, and skilled trades (SETT)fields where they remain underrepresented.In addition to our core program activities, Techsploration is currently advancing critical organizational capacity-building work to strengthen our governance, modernize operations, and support sustainable growth aligned with our 20262030 Strategic Plan.The OpportunityWe are seeking a Governance and Operations Specialist (Specialist) to play a central role in implementing a major governance modernization initiative.Over the past 18 months, Techsploration has worked with governance consultants to conduct a comprehensive governance audit and develop a suite of new and updated materialsincluding revised by-laws, governance policies, operational policies, and HR frameworks. We now require dedicated capacity to move these draft materials through review, approval, and full implementation, and to build the supporting materials and systems needed to sustain them.NOTE: The governance consultants who created these draft materials will still be working with Techsploration to complete the final revisions of all draft policies in the coming year. As part of their role, the Specialist will serve as the intermediary, facilitating the internal review, feedback, revision and approval process between the Executive Director, Governance Committee, Board of Directors, and consultants.This role will be reporting to the Executive Director but will also involve working closely with the Director of Operations, who oversees all operational and HR policies.Key Responsibilities1. Governance Project Planning & CoordinationOrganize, coordinate and project manage the governance modernization project. This work includes, but is not limited to:Creating a workplan for the overarching project, including the review, approval and implementation of all policies, striking of new committees, and the creation/roll out of all supporting materials and systems,Tracking progress, ensuring strong lines of communication, and ensuring timely movement of materials through review, approval and implementation processes, andContributing to large scale change management thinking and planning in support of the project.2. Review/Approval CoordinationFacilitate the review, revision, and approval process of all governance project policies and related materials, including three draft policy manuals: the Governance Manual, Operations Manual, and HR Manual. This work includes, but it not exclusive to:Planning out the document review process, such as how to handle version controls and capturing feedback,Scheduling and organizing staff, committee and Board meetings, preparing meeting agendas and materials, and capturing meeting minutes,Soliciting and gathering internal feedback on draft policies (senior staff, Governance Committee and Board of Directors, etc.). Document feedback and liaise with the Governance Consultants who are under contract to complete the final round of revisions for each draft policy,Drafting supporting materials as needed, andFacilitating additional review and approval meetings/correspondence as needed.3. Policy & Systems ImplementationCoordinate and support the implementation of newly approved governance, operational, and HR policies and related materials. NOTE: there are a significant number of related materials for this project. This includes, but is not limited to:Developing tools, templates, systems and documentation to support policy adoption and/or to meet policy requirements (for example, emergency response plan templates, and a Board Onboarding Guide),Coordinate training and orientation for staff on new policies and procedures,Creating processes to support ongoing monitoring and continuous improvement.4. Organizational Compliance & InfrastructureEnsure Techsploration has systems and documentation in place to enable compliance. This includes, but is not limited to:Build and maintain structures that enable efficient communication and tracking of compliance across governance and operations,Support the Executive Director and Director of Operations in embedding new practices organization-wide, andEnsure documentation is clear, accessible, and aligned with best practices.5. Committee RevitalizationModernize and improve the effectiveness of new and existing Techsploration Committees. This includes, but is not limited to:Coordinate and facilitate the creation of at least three new governance committees, including supporting work to recruit new committee members, and creating annual committee workplans.Support existing committees with work reviewing terms of reference, revitalizing membership, establishing annual committee workplans and other activities that improve the functionality and impact of the committees.Create materials, templates, and systems that will improve the impact and efficacy of Techsplorations committees.Who You AreYou are highly organized, systems-minded, self-driven, and passionate about strengthening organizations from the inside out.
