The Business Coordinator provides project and administrative support to the Vice President of Southern Alberta and the local senior leadership team, reporting directly to the VP. Success in this role requires strong time management, organizational skills, professional agility, and effective problemsolving. WHAT YOU''LL ACCOMPLISH Collaborate with the leadership team on projects, research, and confidential initiatives, including negotiations for projects and events, equity and inclusion efforts, and community engagement opportunities. Plan and manage events, leadership meetings, and employee townhalls, while supporting tactical communications across intranet and social media. Maintain a keen awareness of departmental and organizational goals and objectives, in order to best support them. Assist the VP with reports, memos, letters, and confidential communications, serving as a gatekeeper for sensitive documentation. Prepare, compose, and manage various materials, including agendas, reports, presentations, spreadsheets, and meeting documents, ensuring appropriate channels and formats are used. Compile analytical reports and handle operational functions such as generating and processing purchase orders (POs). Work closely with the VP to manage schedules, commitments, and communications, serving as the primary point of contact and ambassador for internal and external stakeholders. Manage corporate event accounts, including catering, allocation, and reporting. Arrange domestic and international travel, accommodations, and transportation for the VP and visitors, while ensuring professional hospitality and adherence to health, safety, and environmental standards. Demonstrate a commitment to communicating, improving and adhering to health, safety and environmental policies in all work environments and areas. Promote a culture of safety and exhibit these behaviors. WHAT WE''RE LOOKING FOR Education: Bachelors Degree or Diploma. Additional Education Preferred: N/A Field of Study Preferred: Business Administration, Marketing, Finance, Engineering, or any related field Required Work Experience: Up to two years of administrative experience, preferably within the construction industry. Required Training/Certifications: Valid Class 5 drivers license. Required Technical Skills: Advanced proficiency with Microsoft Word, Excel, and PowerPoint. Working knowledge of Microsoft Project, Adobe Acrobat, Photoshop/PageMaker, SAP, and Fiori is an asset. Travel Requirements: 0-10% ADDITIONAL REQUIREMENTS Strong written and verbal communication skills. Strong interpersonal skills and the ability to build relationships at differing levels within the organization. Proven ability to handle confidential information with discretion. Highly resourceful team-player, with the ability to also be extremely effective independently. Must be flexible, able to balance multiple tasks and changing priorities, with required urgency. Must have the ability to diplomatically negotiate deadlines and deliverables. Exhibit exceptional organizational skills so as to complete assignments and produce accurate work products in a timely manner without followup. Take initiative to research and solve problems. Balances the need to be a gatekeeper with the need to also be collaborative. Excellent proofreading and editing skills.
