We are currently seeking a Contracts Manager whowill be responsible for supporting the tendering, contracting, and administration process for construction projects across all markets of operation. The Contract Coordinator works closely with subcontractors, site teams, estimating, purchasing, design, and finance to prepare bid documents, negotiate and administer contracts, manage change orders and compliance documentation, and ensure projects move forward efficiently and accurately. Key Responsibilities - Prepare and coordinate bid packages, tender invitations, bidder lists, and bid leveling recommendations to support contract awards. - Negotiate contract terms with subcontractors and external business partners. - Review and assess contract risks, providing recommendations to the Director of Contracting. - Draft and administer construction contracts, scopes of work, terms and conditions, and coordinate execution. - Liaise with the design team regarding change orders, clarifications, addenda, and drawing revisions throughout the tender process. - Act as a key point of contact for managers, subcontractors, and internal stakeholders by communicating contract terms, scope, status updates, and facilitating contractor meetings. - Manage subcontractor RFIs, RFEs, clarification requests, and other tender-related correspondence. - Track and administer contract changes, including change orders, back charges, credits, and payment schedules. - Collect, maintain, and monitor subcontractor compliance documentation, including insurance, WCB clearance, and other required forms. - Ensure all activities are carried out in accordance with company policies, programs, and applicable OH&S and legislative requirements. - Pre-qualify trades through reference checks and support on-site trade evaluations with the Director of Contracting. - Build and maintain strong subcontractor and vendor relationships across all markets of operation, including travel as required. - Maintain accurate contract records by uploading contracts, scopes of work, change orders, and related documentation to the shared drive on a biweekly basis. - Support the finance process by maintaining payment schedules and updating shared finance records in accordance with accounts payable guidelines. - Assist with project closeout documentation, including sales turnover and warranty tracking. - Prepare formal correspondence and communications to contractors throughout construction. - Collaborate with estimating and purchasing teams to support project budgeting, scopes, takeoffs, and monthly budget reviews. - Assist with general departmental administration, including office supply coordination and other duties as assigned. Skills and Experience - Minimum 3 years of experience in construction contracting, contract administration, tendering, or a related construction environment. - Experience drafting, reviewing, and negotiating construction contracts, scopes of work, change orders, and subcontractor agreements. - Strong understanding of construction processes, budgeting, cash flow, tendering, and trade coordination. - Ability to assess contract risk, interpret drawings and specifications, and make sound recommendations. - Highly organized with the ability to manage multiple priorities in a fast paced environment. - Advanced computer skills, including strong proficiency in Microsoft Office, particularly Excel, Word, and Outlook. - Strong attention to detail and accuracy in preparing contracts and maintaining documentation. - Customer service focused, with the ability to effectively support site teams, subcontractors, and internal stakeholders. - Strong interpersonal and communication skills, with the ability to explain complex information clearly. - Ability to travel occasionally to various markets of operation as required.
