About The Firm Our client is a well-established mid-size law firm in Vaughan with a strong reputation and an expanding practice. Position Overview The firm is seeking a professional and proactive Legal Receptionist & Administrative Assistant to join their team. This dual-purpose role is the heart of the office, acting as the first point of contact for clients while providing essential administrative support to the legal team. The ideal candidate will demonstrate a polished professional demeanour, exceptional organisational skills, and a ''team-player'' attitude to help maintain the firms high standard of service. Key Responsibilities Front-of-House: Greet clients and visitors with professionalism and warmth, maintaining the reception and meeting room environment. Communication Management: Manage a multi-line phone system, directing calls and taking detailed messages for lawyers and staff. Administrative Support: Assist the legal team with document scanning, filing (digital and physical), and basic data entry. Logistics Coordination: Manage all incoming and outgoing mail, couriers, and legal deliveries, ensuring time-sensitive documents are processed correctly. Office Flow: Coordinate the scheduling of boardrooms and provide support for firm-wide meetings or internal events. Client Service: Act as a helpful resource for clients, ensuring they feel supported from the moment they contact the firm. Core Competencies Professionalism: Acts as a brand ambassador, maintaining a calm and welcoming presence in a fast-paced environment. Exceptional Communication: Ability to communicate clearly and effectively across all levels of the firm and with external stakeholders. Organisational Excellence: Highly organised with a keen ability to multitask and prioritise front-desk duties alongside administrative projects. Teamwork: Works collaboratively with lawyers and clerks, contributing to a positive and efficient office culture.
